We are seeking a passionate administrative assistant for our Vancouver office with exceptional attention to detail and a strong desire to grow professionally. Job Responsibilities
- Effectively manage front desk activities
- Answering phone calls in a professional and courteous manner
- Organizing and monitoring company calendar
- Act as liaison between clients and staff
- Greet visitors and staff warmly as they enter the office
- Email correspondence with clients and staff in a professional manner
- Accounts receivable
- Prepare statements for clients
- Maintain project files, documents and associated documentation
- Arranging for courier and printing as required
- Organizing travel arrangements for staff and partners
- Data entry
- Scanning documents and uploading to SharePoint
- Proofread correspondence, reports, and other documents for accuracy and clarity
- Assisting managing partners with various administrative duties
- Maintain document control and manage retention processes
- Maintain a strict code of confidentiality
- Other office related duties as required including; maintaining the office in a clean and tidy manner, coordinating equipment maintenance, ordering and unpacking office supplies, preparing the boardroom for meetings, assisting in event planning
- Vacation coverage for the Project Coordinator and Office Manager
- Other duties as assigned
Job Requirements
To qualify for this role you will have the following:
- Certificate, diploma, degree or equivalent experience working in an office setting
- Fluent in English both written and verbal
- Proficiency with MS Office, Adobe Acrobat, Click Up and Harvest
- Experience with Canva an asset
- Exceptional attention to detail with a focus on accuracy and quality
- Ability to follow directions
- Ability to multi-task in a fast-paced environment with ability to adapt to changing deadlines and priorities
- Ability to work as part of a team and individually with limited supervision
- Ability to find the answers and take initiative
- Bookkeeping experience would be an asset
- Accounts Receivable experience would be an asset
Pay: $50,000.00-$70,000.00 per year
