About Us
The Heating Source is a local, family-owned fireplace business specializing in installation and maintenance of gas, wood, pellet and electric fireplaces, as well as gas lines, pool heaters, outdoor fireplaces and BBQs. We are looking for an upbeat Service Coordinator to join our team and work with customers in our warm and welcoming showroom.
Job Summary
The Service Coordinator is the central point of contact for our service and parts customers. This role manages incoming inquiries, schedules service appointments, coordinates communication between customers and technicians, and supports service administration including parts, warranties, and payments.
This position is ideal for someone who is organized, customer-focused, and comfortable juggling multiple priorities in a busy service environment.
Duties and Responsibilities
Customer Experience
· Welcome and engage with customers in the showroom and over telephone.
· Maintain knowledge of services, rates and processes.
· Receive and respond to service and parts inquiries via email and telephone.
· Communicate between customer and technicians for any concerns and technical questions.
Email Management
· Read, respond and triage emails as appropriate and oversee inbox.
Scheduling & Administration
· Create customer profiles and schedule service and diagnostic visits.
· Provide assistance to the Sales Specialist as needed, working with the Showroom Assistant.
Accounts Receivable
· Receive payment from customers.
· Track cheques and cash received and maintain Accounts Receivable document.
· Run merchant machine reports.
WETT Inspections
· Receive pre-payment for WETT inspections and send completed WETT inspection reports.
Parts
· Review jobs with parts daily on Housecall Pro, communicate with technicians, take customer payments and order parts according to technician notes.
· Tag parts once received, book return service visits and prepare parts for service technicians.
Receiving
· Review packing slips and tag parts received and units received on Housecall Pro jobs.
Warranties
· Complete warranty applications and coordinate with customers and suppliers.
Other Duties, as Assigned
Experience & Skills
- 3-5 Years of previous experience in service coordination, customer service, or administrative roles (HVAC, trades, or construction experience an asset)
- Strong communication and customer service skills
- Highly organized with strong attention to detail
- Comfortable managing multiple priorities and deadlines
- Confident using computer systems including Microsoft Word and Excel and service software (Housecall Pro experience an asset)
- Professional, dependable, and team-oriented
- Knowledge of local Simcoe and Dufferin County areas an asset
Job Type: Full-time
Pay: $40,000.00-$55,000.00 per year
