In This Role, You Will:
- Greet clients and visitors warmly upon arrival, make them feel comfortable and valued, and direct them appropriately while maintaining a professional and positive office atmosphere.
- Answer, screen, and forward incoming phone calls and emails in a calm, courteous, and efficient manner; take accurate messages and follow up on inquiries promptly.
- Schedule and manage client appointments, consultations, and follow-up meetings using our calendar system, while coordinating with consultants and case processors.
- Handle basic client inquiries about immigration processes, office procedures, and appointment statuses, escalating complex questions to senior team members as needed.
- Process consultation fees, payments for services, and issue receipts accurately while maintaining confidentiality and following office protocols.
- Receive, sort, and distribute incoming mail, documents, and courier deliveries; prepare outgoing correspondence and client packages when required.
- Maintain the reception area, client waiting space, and office supplies to ensure a tidy, welcoming, and organized environment.
- Contribute to a positive, collaborative work environment by communicating effectively with coworkers, staying proactive, and helping achieve smooth daily operations.
- Deliver outstanding client experiences and suggest small improvements to processes where you see opportunities to enhance efficiency and service quality.
Requirements:
- High School diploma and/or 2+ years of relevant experience in a front desk, reception, customer service, or administrative role (experience in an immigration office, law firm, or consultancy is a strong asset).
- Strong organizational, planning, and time management skills to thrive in a fast-paced, client-focused environment.
- Hands-on proficiency with MS Office (Word, Excel, Outlook) and internet research; familiarity with appointment scheduling or case management software is a plus.
- A proactive, detail-oriented individual who can take initiative, multitask effectively, and adapt to changing priorities with accuracy.
- A warm, dynamic communicator with excellent customer service skills who connects easily—both verbally and in writing—with diverse clients in a calm, professional, and empathetic manner.
- Genuine passion for helping people with their immigration journeys and maintaining strict confidentiality.
- Valid work authorization in Canada required.
