Job Summary
We are seeking a detail-oriented and organized Entry-Level Administrative Assistant to support the Office of the General Manager on a full-time basis. This role is ideal for candidates with foundational office experience who are eager to develop their administrative skills in a professional environment. The successful candidate will handle a variety of clerical and organizational tasks, ensuring smooth daily operations and effective communication within the office. Proficiency in office software and excellent customer service skills are essential for success in this position.
Responsibilities
- Manage front desk duties, including greeting visitors and answering multi-line phone systems with professionalism and courtesy
- Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and other relevant software
- Schedule appointments and manage the General Manager’s calendar using Microsoft Outlook Calendar
- Assist with bookkeeping tasks utilizing QuickBooks and perform basic bookkeeping functions
- Prepare, proofread, and format documents, reports, and correspondence with attention to detail
- Handle filing systems, both electronic and physical, ensuring documents are organized and easily accessible
- Coordinate with internal teams to facilitate communication and workflow across departments
- Utilize DocuSign for electronic document signing and management
- Provide exceptional customer service by responding promptly to inquiries and supporting internal stakeholders as needed
Requirements
- Prior office or clerical experience preferred; familiarity with administrative procedures is a plus
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and Microsoft Outlook Calendar
- Experience with QuickBooks, data entry, filing, proofreading, and basic bookkeeping is desirable
- Strong organizational skills with the ability to prioritize tasks effectively
- Excellent phone etiquette and communication skills for handling multi-line phone systems and customer interactions
- Ability to type accurately and efficiently for data entry tasks
- Office experience including front desk responsibilities is preferred
- Knowledge of DocuSign or similar electronic signature platforms is a plus
- Demonstrated organizational skills, attention to detail, and ability to multitask in a fast-paced environment

Pay: $50,000.00-$65,000.00 per year
