Receptionist / Legal Assistant
Location: High Prairie, Alberta
Mathieu Hryniuk LLP is seeking a highly organized, professional, and client-focused Receptionist / Legal Assistant to join our High Prairie office. This position is ideal for someone who enjoys working with people, thrives in a fast-paced environment, and is interested in developing a career within the legal industry.
As the first point of contact for our High Prairie office, you will play an important role in creating a positive client experience while also providing administrative and legal support to our team. In addition to reception duties, this position offers an opportunity to learn and assist with entry-level conveyancing and real estate file management.
Key Responsibilities
Reception & Administrative Duties
- Welcome clients and visitors in a professional and friendly manner.
- Answer, screen, and direct incoming phone calls.
- Schedule appointments and coordinate meetings.
- Respond to client inquiries and provide general office information.
- Process client payments and issue receipts.
- Complete daily bank deposits.
- Manage incoming and outgoing mail, courier packages, and deliveries.
- Open and maintain client files.
- Organize and maintain physical and electronic filing systems.
- Assist with general office administration and support firm operations.
- Contribute to an efficient workflow and positive office environment.
Entry-Level Conveyancing & Legal Support
- Assist with opening and organizing real estate and conveyancing files.
- Prepare basic legal documents and correspondence using firm templates.
- Obtain and organize documents required for real estate transactions.
- Communicate with clients, financial institutions, and third parties regarding file requirements.
- Assist legal assistants and lawyers with file management and administrative tasks.
- Learn conveyancing procedures and support residential real estate transactions from opening to closing.
Qualifications & Skills
- Previous experience in reception, office administration, customer service, or a related field is considered an asset.
- Post-secondary training in office administration, legal administration, or a related discipline is an asset but not required.
- Proficiency with Microsoft Office, Outlook, and general computer applications.
- Strong interpersonal, communication, and customer service skills.
- Excellent organizational skills and attention to detail.
- Ability to multitask, prioritize responsibilities, and meet deadlines.
- Strong problem-solving abilities and willingness to learn.
- Ability to work independently while also contributing to a team environment.
- Professional, dependable, and motivated with a strong work ethic.
