Mozaic Realty Group is a growing real estate brokerage that supports high-performing agents and leadership teams. We are seeking a proactive and highly organized Real Estate Licensed Executive Assistant to provide executive-level support while assisting with licensed real estate activities in compliance with brokerage and regulatory standards.
Role Overview
The Real Estate Licensed Executive Assistant provides administrative, operational, and licensed real estate support to licensed agents and brokerage leadership. This role assists with property showings and performs licensed real estate activities that cannot be completed by unlicensed administrative staff, while also supporting day-to-day executive and transaction-related responsibilities.
Key Responsibilities
- Executive and Administrative Support
- Provide day-to-day executive support to agents or brokerage leadership
- Manage calendars, appointments, and scheduling
- Prepare correspondence, reports, and internal documentation
- Assist with task prioritization and follow-ups
Licensed Real Estate Activities
- Assist with property showings as required
- Perform licensed real estate activities in accordance with brokerage and regulatory requirements
- Support agents with client-facing tasks that require a real estate license
Transaction & Client Support
- Communicate with clients, prospects, and third parties as directed
- Assist with transaction documentation under agent supervision
- Coordinate with conveyancers, legal offices, and service providers
- Track key dates, follow-ups, and transaction milestones
Listing & Marketing Support
- Assist with listing preparation, MLS input, and updates
- Coordinate listing photos, marketing materials, and advertising
- Support marketing initiatives and client communications
Compliance & Systems
- Ensure all activities comply with brokerage policies and regulatory requirements
- Maintain accurate records in CRM and transaction systems
- Follow established workflows and procedures
Required Qualifications
- Active real estate license in good standing
- Previous experience as a Real Estate Assistant or Executive Assistant
- Strong organizational, communication, and time-management skills
- High level of professionalism and discretion
- Ability to manage multiple priorities in a fast-paced environment
- Comfortable working independently and with senior-level stakeholders
Preferred Qualifications
- Experience supporting top-producing agents or brokerage leadership
- Familiarity with MLS systems and real estate platforms
- Experience with transaction coordination and client follow-up
- Proficiency in Google Workspace and CRM systems

Pay: $45,000.00-$70,000.00 per year
