About the Black Business Summit
The Black Business Summit (BBS) is a one-day event hosted by the Connecting the Dots Diversity & Inclusion Council (CDDIC), taking place on September 19, 2026 in Calgary, Alberta. Designed for Black immigrant entrepreneurs and business owners, the summit will bring together 100 attendees for keynote presentations, panel discussions, a vendor marketplace, networking, live entertainment, and refreshments.
The summit is free to attend and is being organized for the first time. It is a milestone event that reflects the collective effort of a small, dedicated team, making the Volunteer Coordinator role critical to its success.
Role Summary
The Volunteer Coordinator serves as the connective thread between all volunteers working on the Black Business Summit. This is a people-management and project-tracking role. The ideal person will have a strong sense of organisation, excellent communication skills, and the ability to hold the big picture in mind while making sure every individual volunteer knows what they need to do and when.
This person must be available to attend the event in person on September 19, 2026 in Calgary.
Key ResponsibilitiesVolunteer Management & Communication
- Serve as the main point of contact for all BBS volunteers
- Maintain a clear overview of every volunteer’s assigned role and responsibilities
- Create and manage a volunteer WhatsApp group or communication channel/contact lists.
- Check in regularly with each volunteer to confirm tasks are on track
- Flag any gaps, delays, or issues to the event lead promptly
Coordination & Oversight
- Understand the full event picture, all teams, all tasks, all deadlines
- Ensure volunteers are not working in isolation; connect people where collaboration is needed
- Maintain a volunteer task tracker and update it regularly
- Support the recruitment and onboarding of new volunteers onto the team
- Assist with creating or distributing volunteer shift assignments for event day
Event Day (September 19, 2026)
- Be physically present at the summit venue in Calgary
- Coordinate volunteer logistics on the day (registration desk, ushering, vendor support, etc.)
- Serve as the go-to person for all volunteers throughout the event
- Support post-event wrap-up and cleanup coordination
What We’re Looking ForEssential
- Based in Calgary and able to attend the event in person on September 19, 2026
- Strong project management mindset, able to track tasks and follow up without being asked
- Excellent communication skills, clear, timely, and proactive
- Able to hold the “big picture” while managing individual details
- Comfortable using online platforms (WhatsApp, Google Drive, volunteer management tools)
- Reliable, dependable, and calm under pressure
Nice to Have
- Previous experience coordinating volunteers or managing events
- Familiarity with the Black immigrant or newcomer community in Calgary
- Experience using platforms like Canva, Eventbrite, or social media for events
