Our Suburban Property Management Team, located in Burnaby, BC is looking for a Property Administrator, Operations. As a Property Administrator we will rely on you to manage the administration portion of properties. This is an exciting opportunity for a recent post-secondary graduate looking to kick off their career in the exciting world of property management. We are looking for someone with a strong attention to detail, previous administrative experience (preferably in an office setting) and someone with a passion for providing excellent customer service. Many of our property managers started their career in this same role so it’s a great steppingstone to learn all about the industry.
RESPONSIBILITIES
- Working with Property Managers, Property Administrators (operations and accounting), operations personnel on various properties on tasks as required.
- Provide support for the PM team with administration, managing office supplies, couriers, staff IT and phone needs.
- Manage the procurement process including Purchase Orders and Contract generation to execution. Maintain contract and contact matrixes.
- Collect, review and track Tenant Insurance Certificates, Sales Reports, contact information, and other information as required. Correspond with Tenants to ensure compliance to policies and Lease requirements.
- Manage confidential Lease files and files accordingly and document archiving & filing, including physical filing & managing an electronic filing.
- Assist with Tenant meetings, tenant engagement events, and the building work order system.
- Perform various administrative duties including word processing, presentations, expense reports, filing, photocopying, maintenance of records, contracts administration, ordering of office supplies, general office assistance, etc.
- Compile and maintain all documentation binders, files, or physical and electronic filing as required.
- Maintain an excellent line of communication amongst the property manager, building operators, staff, property administrators, contractors, tenants, and other external parties.
- Assist with Fixtures and Chattels, plans & drawings inventory, and site reviews. Prepare paperwork and reports as required.
- Prepare Tenant correspondence and tenant advisories as required.
- Manage Tenant and Vendor inquiries.
- Managing the administrative process for contractor documentation.
- Keeping records up to date and ensuring information is collected on time.
- Other duties as assigned.
QUALIFICATIONS
- Highly organized with a strong attention to detail and comfortable working in a deadline driven fast paced environment with a high-level capacity to multitask.
- Strong verbal and written communication and interpersonal skills.
- Excellent customer service abilities and always looking for ways to go above & beyond.
- Previous office administrative experience is preferred.
- Passionate about the industry and aspiring to develop a long-term career in the field.
- A collaborative person who is hard working and likes to have fun at work
- Highly competent with Microsoft Office, Excel and Outlook.
- A post-secondary education is considered an asset.
- Familiarization with Yardi is an asset.
The base salary for this position is between $47,600.00 to $64,400.00 annually. This represents base salary only and does not represent other variable compensation components of our total compensation ( i.e. annual bonus, commission etc).
