About the Role
The Fleet & Equipment Manager is responsible for the full lifecycle management of company vehicles, trailers, and equipment across both Canadian and U.S. operations. This role ensures compliance with CVOR, IFTA and DOT regulations, maintains accurate records, oversees preventive maintenance, manages inventory, and supports the safe and efficient operation of the company’s fleet and specialized equipment.
The ideal candidate is highly organized, detail-oriented, and comfortable managing multiple priorities while maintaining accurate documentation and systems.
What You’ll Do
Fleet Management (Canada & U.S.)
- Manage all aspects of the company fleet including trucks, trailers, and specialty vehicles across Canada and the U.S.
- Ensure compliance with CVOR (Canada) and DOT (U.S.) requirements, IFTA, including reporting and recordkeeping.
- Maintain fleet records for both countries, including ownerships, titles, bills of sale, insurance, and registrations.
- Oversee Titan GPS system:
- Ensure all vehicles are active and properly tracked.
- Monitor driver compliance, including uploading fuel receipts.
- Order, assign, and cancel GPS units as needed.
- Manage fuel card programs for both Canada and the U.S.:
- Coordinate insurance coverage, including weight rating changes, policy updates, and cross-border compliance.
- Track and coordinate maintenance, repairs, inspections, and oil changes; occasionally transport vehicles to service appointments.
Equipment Management
- Maintain a complete inventory of company equipment in both countries, including unique equipment numbers and identification.
- Develop and maintain spreadsheets to track equipment ownership, calibration schedules, and service due dates.
- Ensure all equipment files, manuals, certifications, photos, and paperwork are organized and stored in OneDrive and Assignar.
- Manage shipping and receiving of equipment, ensuring cross-border compliance where necessary.
- Oversee calibration schedules and manage vendor relationships for equipment service in both Canada and the U.S.
Documentation & Systems
- Maintain detailed spreadsheets and databases covering all fleet and equipment.
- Ensure all records are current, accurate, and accessible for management review.
- Provide reporting and analysis on fleet utilization, costs, compliance, and upcoming service requirements.
Knowledge & Accountability
- Maintain thorough knowledge of every vehicle and piece of equipment, tracked by vehicle number and equipment number.
- Act as the central point of contact for all fleet and equipment matters within the company across Canada and the U.S.
What You Bring
- Proven experience in fleet and equipment management, ideally with exposure to cross-border (Canada/U.S.) compliance requirements.
- Strong knowledge of CVOR, IFTA and DOT regulations.
- Proficiency with fleet management systems (Titan GPS or similar) and MS Office (Excel required).
- Excellent organizational and recordkeeping skills with strong attention to detail.
- Ability to manage competing priorities and meet deadlines in a fast-paced environment.
- Valid driver’s license with a clean driving record; ability to travel between Canada and the U.S. as required.
Working Conditions
- Primarily office-based, with regular visits to the shop/yard to oversee fleet and equipment.
- Occasional travel within Canada and the U.S. for vehicle service, vendor coordination, or compliance requirements.
