Lead Concierge
Wellings of Bradford – Active Living Community (55+)
Position Overview
Wellings of Bradford is a newly built 76-suite mid-rise active living community designed for adults aged 55+. Our mission is to create a vibrant, welcoming environment where members enjoy comfort, connection, and exceptional service.
We are seeking a Lead Concierge who will serve as the front-of-house leader and administrative support hub for the community. This role combines hospitality, resident engagement, and office administration, ensuring smooth day-to-day operations at the front desk while delivering an outstanding member experience.
The Lead Concierge is often the first point of contact for residents, guests, and staff, and plays a key role in setting the tone for the community. The ideal candidate is highly organized, personable, tech-savvy, and passionate about working with older adults.
Key Responsibilities
Resident & Guest Experience
- Provide a warm, professional welcome to members, guests, and visitors.
- Serve as the primary point of contact for member inquiries, service requests, and community information.
- Assist members with amenity bookings, events, transportation coordination, and service requests.
- Build positive relationships with members to foster a friendly and engaging community atmosphere.
- Address concerns or issues promptly and escalate when necessary.
Front Desk Operations
- Manage the main phone system, including answering calls, routing messages, and responding to inquiries.
- Maintain the front desk and lobby area in a clean, organized, and professional manner.
- Coordinate visitor access and maintain visitor logs when required.
- Support building operations by communicating with maintenance, dining, and management teams.
Administrative & Office Support
- Perform office administration tasks including document management, scheduling, and filing.
- Maintain accurate records and assist with data entry in internal systems.
- Support accounts payable and receivable processes.
- Assist with payroll accuracy checks and documentation.
- Support the leadership team with administrative projects and reports.
- Assist with general office duties as required.
Communication & Community Engagement
- Create/collaborate and distribute the weekly community newsletter.
- Update digital signage boards and internal communication systems.
- Assist with social media updates and community announcements.
- Coordinate communication materials for resident events and programs.
- Use creative tools to help promote activities and community initiatives.
Systems & Technology
- Utilize internal systems and software to support operations, including:
- Property management platforms
- Payment processing systems
- Scheduling and communication tools
- Support daily operations using tools such as:
- Volante
- Moneris
- Dayforce
- Canva
- Microsoft Excel or other database systems
(Experience with these systems is an asset but not required.)
Qualifications Required
- Minimum 3 years of customer service or hospitality experience
- Strong interpersonal and communication skills
- Professional and friendly phone etiquette
- Excellent organizational and multitasking abilities
- Strong attention to detail
- Ability to maintain confidentiality and professionalism
- Comfortable working with technology and digital systems
- Ability to work independently and collaboratively
Assets (Not Required)
- Experience in retirement living, hospitality, or residential communities
- Experience with Volante, Moneris, Dayforce, Constant Contact or similar systems
- Social media management or digital communication experience
- Administrative experience including accounts payable/receivable or payroll support
