Logistics Administrative Assistant

Compensation: $17.00 – $20.00 per hour (based on experience and qualifications)
Hours: 20-30 hours per week, Monday to Friday, typically between 8:30 AM and 5:00 PM. Occasional evening or weekend availability may be required during peak event periods.
Position Summary
Infinity Management Inc. is seeking a highly organized and detail-oriented Logistics Administrative Assistant to support our growing operations team. This position plays a critical role in coordinating logistics, scheduling deliveries and pickups, managing communication between departments, preparing documentation, supporting warehouse operations, and ensuring the smooth execution of weddings, events, floral projects, and venue operations.

Key Responsibilities
Administrative Support
- Provide administrative support to the warehouse, floral and event operation teams.
- Answer and direct phone calls, emails, and inquiries related to logistics operations.
- Maintain accurate records, databases, and filing systems.
- Prepare reports, spreadsheets, forms, and operational documents.
- Assist with data entry and document management.
Scheduling & Coordination
- Coordinate delivery, pickup, and transportation schedules.
- Assist in scheduling warehouse staff, drivers, and event setup crews.
- Communicate schedule updates to team members and clients.
- Monitor logistics calendars and operational timelines.
- Coordinate vehicle and equipment bookings as required.
Logistics Operations Support
- Prepare delivery manifests, packing lists, and work orders.
- Ensure drivers and field teams have accurate documentation.
- Track deliveries, pickups, and transportation activities.
- Coordinate with vendors, suppliers, and subcontractors.
- Monitor operational workflows and identify potential issues.
Client & Vendor Communication
- Serve as a point of contact for logistics-related inquiries.
- Provide updates regarding delivery schedules and project timelines.
- Communicate professionally with clients, venues, suppliers, and contractors.
- Assist in resolving logistical concerns or scheduling conflicts.
Compliance & Documentation
- Maintain required safety and operational records.
- Ensure documentation is completed accurately and on time.
- Assist with workplace safety documentation and inspections.
- Support compliance with company policies and procedures.
Financial & Administrative Tasks
- Process orders and invoices.
- Assist with expense tracking and budget reporting.
- Support accounts payable by gathering and organizing documentation.
- Maintain vendor information and records.
Qualifications
Education
- Certificate, diploma, or equivalent experience in Administration, Logistics, Supply Chain Management, Business, or a related field.
Experience
- Experience with scheduling and coordination is considered an asset.
- Knowledge of QuickBooks is an asset.
Skills & Competencies
- Strong organizational and time management skills.
- Excellent verbal and written communication abilities.
- Proficiency in Google Suite
- Ability to learn logistics, inventory, and scheduling software.
- Strong attention to detail and accuracy.

Physical Requirements
- Primarily office-based work.
- Occasional visits to warehouse, event venues, or operational sites.
- Ability to lift up to 25 lbs occasionally.
- Ability to sit, stand, and use a computer for extended periods.
- Valid Saskatchewan Driving License and reliable means of transportation
