Job Summary:
We are seeking a detail-oriented and organized Administrative Assistant to join our team. This role involves supporting the daily operations of the center, managing administrative tasks, and ensuring a smooth experience for clients and staff alike.
As a Receptionist/Administrative Assistant, you will be the vibrant face of our organization, welcoming visitors and providing essential support to ensure smooth office operations. Your role is pivotal in creating a positive first impression while managing front desk responsibilities and assisting with various administrative tasks. You’ll leverage your organizational skills and customer service expertise to enhance our team’s efficiency and effectiveness.
What you’ll do
- Greet and assist visitors, ensuring a warm and professional welcome at the front desk.
- Manage phone systems, directing calls and taking messages with exceptional phone etiquette.
- Perform clerical duties including data entry, filing, and proofreading documents to maintain accurate records.
- Utilize Microsoft Office to create reports, manage calendars, and support team projects.
- Provide support by addressing inquiries and resolving issues efficiently.
- Assist in office management tasks such as inventory control and maintaining a tidy workspace.
- Collaborate with team members on administrative projects, ensuring deadlines are met through effective time management.
- Support bookkeeping tasks using QuickBooks as needed, contributing to financial accuracy.
Basic qualifications
- Strong computer literacy with proficiency in Microsoft Office Suite.
- Excellent organizational skills with the ability to multitask effectively in a fast-paced environment.
Preferred qualifications
- Previous experience as a receptionist or in an administrative role, preferably within the medical field.
- Knowledge of Microsoft 365
- Previous experience working within an addiction and/or mental health facility.
- Bilingual abilities to enhance communication with diverse clients and partners.
- Familiarity with calendar management and personal assistant duties to support executive staff.
