Bookkeeper
In this Bookkeeper position, the successful applicant will play an essential role at the Vancouver Island Counselling Centre for Immigrants and Refugees (VICCIR).
Reporting directly to the Executive Director, in collaboration with the VICCIR Board Treasurer, you would be responsible for providing bookkeeping and accounting services for the organization.
In this role, you will manage the following areas:
1 - Core Financial Recording and Reporting
2 - Payroll and Employee Benefits Management
3 - Donation and Charitable Activities
4 - Audit and Compliance

SPECIFIC RESPONSIBILITIES and ACCOUNTABILITIES
1. Core Financial Recording and Reporting
General Accounting
- Recording financial information in QuickBooks
- Perform monthly bank reconciliations
- Prepare monthly reports for Board meetings before the 20th of each month.
The reports layout is as follows:
- Balance Sheet in monthly columnar format in Excel
- P & L in monthly columnar format in Excel
- Cash flow projection with at least 12 months runway in Excel
- Deferred Revenue report reconciled to current months balance sheet in Excel
- Bank reconciliations matching to balance sheet
- Explanation of unusual items
- Create and maintain Grant Financial tracking in collaboration with Grant Writer & Fund Development Officer
- Keep accurate and updated files (paper and electronic) for future reference and audits
- Creates Annual Budget based on historical data and organizational goals
Banking and Transaction Management
- Acts as signatory officer for TD Bank account management
- Deposits cash or cheques received through fundraising events
- Monitors bank transactions and reports anomalies to the Executive Director and Treasurer
- Access and manage bank accounts, performing transfers, paying contractors, processing reimbursements, ensure each bank account maintains the minimum balance to avoid fees, and that there is sufficient cash available for ADP to withdraw payroll every two weeks and any other pending payments
- For contractors’ payment purposes work in conjunction with the Admin Clinical & Data Coordinator
2. Payroll and Employee Benefits Management
Payroll Processing
- Employee Onboarding Documentation for payroll purposes / Benefits Plan Management / Leaves and Time Management
- Maintain Employee absence schedule
- Calculate staff payroll (including work hours, vacations, sick days, holidays)
- Input payroll in ADP, review accuracy and save changes
- Print and save payroll documents for filing purposes
- Preparing payroll entries report
Government Compliance
- Coordinate T4's and Record of Employment delivery
- Access and manage CRA information (verify payroll remittances and notifications)
- Primary administrator of WorkSafe BC account and remit quarterly premiums
- Apply for GST rebate twice a year with CRA
3. Donation and Charitable Activities
Donation Processing
- Send "Thank You" notes for donations through Benevity
- Generate tax and or acknowledgment receipts for cash and cheque donors, and send tax and or acknowledgment receipts to donors
- Monitor donations from CanadaHelps in coordination with others
- Process and record fundraising event proceeds
4. Audit and Compliance
External Audit Coordination
- Act as contact person for annual "Review Engagement Audit"
- Collect, prepare, and send required financial information
- Coordinate with Executive Director and Treasurer
Reporting and Statistics
- Collect VICCIR's statistical information for Annual General Meeting
- Prepare and participate in different reporting requirements

REQUIREMENTS AND QUALIFICATIONS
- Experience as a bookkeeping or accounting
- Proficiency with QuickBooks Online
- Proficiency with Microsoft Suite, with strong Excel skills
- Accounts receivable and payable knowledge
- Strong organization skills and attention to detail
- Excellent written and verbal communication skills
- Confirmation of the successful completion of Criminal Records Check through the RCMP office
- Ability to manage deadlines and work independently
- Possess empathy and compassion for others, positively, friendly and cooperative nature
- Ability to comply with and adhere to the Privacy and Confidentiality Act and Policies of the Counselling Centre and British Columbia, Canada
