Buffalo Pound Water Treatment Corporation is seeking a proactive and detail-oriented Management Systems Coordinator to support and enhance the Corporation’s integrated management systems across safety, drinking water quality, and human resources.
Reporting to the Manager, Operations & Safety, this role works closely with the management team to coordinate, maintain, and continuously improve management systems and organizational processes across the facility. The Management Systems Coordinator plays a key role in supporting compliance, audit readiness, training coordination, incident investigations, documentation control, and continuous improvement initiatives.

Key Responsibilities
Management Systems Coordination
Coordinate and maintain management systems including:
- Safety Management System
- Drinking Water Quality Management System
- Human Resource Management System
- Support continuous improvement initiatives across management systems and organizational processes
- Assist with development, implementation, and maintenance of policies, procedures, and documentation
- Monitor corrective actions, preventative actions, investigations, and opportunities for improvement within Quality Management System software and related systems
- Maintain management system records and documentation including electronic and paper files
- Track key performance indicators and prepare management and regulatory reports
- Coordinate customer complaint responses related to management systems
- Maintain awareness of current regulations, codes, and industry best practices and communicate changes to management
Audits, Compliance & Reporting
- Prepare and coordinate internal and external audits
- Provide assistance to auditors and support audit activities
- Report audit findings and results to management in a timely manner
- Assist with communication of audit results internally and externally as required
- Support departments in achieving and maintaining regulatory and compliance requirements
- Research and interpret applicable federal, provincial, and local regulations and standards
Safety, Training & Incident Coordination
- Coordinate incident investigations and corrective actions
- Organize emergency exercises and drills
- Coordinate training activities and maintain training records
- Act as an active member and resource for the Occupational Health Committee (OHC)
- Coordinate return-to-work processes and injury management activities with managers, supervisors, healthcare providers, and workers compensation stakeholders
- Promote safe work practices and continuous improvement in workplace safety and compliance
Team Collaboration & Administrative Support
- Organize management systems meetings including scheduling, agendas, minutes, and documentation
- Work collaboratively with operations, administration, management, contractors, and external stakeholders
- Assist management with confidential filing and records management
- Support continuous improvement by monitoring industry trends, participating in industry meetings, and making recommendations to management
Qualifications
Education & Experience
- Post-secondary certification in a recognized Health & Safety, Quality, or Environmental Management Systems program is considered an asset
- Experience in a potable water treatment plant and/or manufacturing environment is considered an asset
- Experience developing and implementing management systems procedures and policies
- Experience managing confidential documentation and communication related to injury management, workers compensation, and return-to-work programs
