Job Overview
We are seeking a dynamic and detail-oriented Office Administrator/Bookkeeper to join our team. This role is vital in maintaining smooth office operations while managing financial records with precision. The ideal candidate will be energetic, organized, and possess a strong foundation in clerical and bookkeeping tasks. Your expertise in accounting software, especially QuickBooks online, combined with your office experience, will help keep our curling club running seamlessly.
Responsibilties:
1) Office Administration
- Answer and direct telephone calls and emails.
- Greet customers, suppliers, and visitors professionally.
- Maintain filing systems (electronic and paper).
- Prepare correspondence, reports, and business documents.
- Order office supplies and maintain inventory.
- Schedule appointments and meetings.
- Coordinate shipping and courier services.
- Maintain employee records and company documentation.
- Assist management with special projects.
- Ensure office equipment is maintained and serviced.
2) Bookkeeping
- Record daily financial transactions.
- Process accounts payable and accounts receivable.
- Prepare and issue customer invoices.
- Receive and record customer payments.
- Reconcile bank and credit card statements.
- Maintain the general ledger.
- Process expense reports.
- Prepare deposits.
- Monitor cash flow.
- Prepare monthly financial reports for management.
- Assist external accountants with year-end preparation.
- Maintain accurate financial records in accounting software, QuickBooks online.
3) Payroll
- Process employee payroll accurately and on schedule.
- Maintain payroll records.
- Calculate vacation pay and statutory holiday pay.
- Administer benefits (if applicable).
- Prepare Records of Employment (ROEs) when required.
- Remit payroll deductions to government agencies.
4) Government Reporting
- Prepare and remit GST/HST returns.
- Prepare payroll remittances.
- Assist with WSIB reporting (if applicable).
- Maintain records for tax compliance.
- Assist with annual audits and financial reviews.
5) Purchasing & Inventory Support
- Enter purchase orders.
- Receive supplier invoices.
- Match invoices to purchase orders.
- Assist with inventory record keeping.
- Coordinate with production and purchasing staff.
6) Customer Service
- Respond to customer inquiries.
- Prepare quotations (if required).
- Follow up on outstanding invoices.
- Maintain positive customer relationships.
Qualifications:
- Diploma or certificate in Business Administration, Accounting, or Bookkeeping preferred.
- 3–5 years of office administration and bookkeeping experience.
- Experience with accounting software (QuickBooks, Sage, or similar).
- Proficiency with Microsoft Office (Excel, Word, Outlook).
- Strong organizational and time-management skills.
- Excellent written and verbal communication.
- High attention to detail and accuracy.
- Ability to work independently and manage multiple priorities.
- Ability to maintain confidentiality.
- Must possess a valid G2 driver license and access to a vehicle.
