Position Summary
The Manager, AI & Process Improvement will lead the design, implementation, adoption, governance, and optimization of AI-driven tools, automation platforms, and emerging business technologies across the organization. This role will identify operational inefficiencies, redesign workflows, and implement practical AI and automation solutions that improve productivity, reporting, communication, decision-making, customer experience, and overall business performance across Troika’s development, construction, property management, and corporate operations.
The successful candidate will leverage cutting-edge technologies and platforms including generative AI, workflow automation, AI agents, machine learning-enabled productivity tools, low-code/no-code automation platforms, and integrated business systems such as OpenAI, Claude, Microsoft Copilot, Power Automate, n8n, HubSpot, Yardi, SharePoint, and other emerging technologies to modernize how work is executed across the organization.
This role will also support the oversight of external IT service providers and assist in ensuring technology infrastructure, cybersecurity, systems reliability, data governance, and user support remain stable, secure, and scalable as the organization continues to grow.
Key Responsibilities
Organizational AI Enablement & Productivity
- Lead the implementation and ongoing evolution of Troika’s AI and automation strategy in alignment with organizational growth objectives.
- Identify, evaluate, implement and optimize practical AI-powered workflows and scalable automation solutions that improve operational efficiency, reporting, communication, workflow automation, customer experience, and business decision-making across operational, administrative, marketing, leasing, and business functions throughout the organization.
- Support the integration and optimization of business productivity tools and platforms which may include OpenAI, Claude, Microsoft Copilot, n8n, Power Automate, HubSpot, SharePoint, and other emerging technologies.
- Act as an internal resource and subject matter expert on AI adoption, operational innovation, and business process automation.
Business Process Optimization
- Review workflows across departments and identify opportunities for process improvement, automation, and systems integration.
- Streamline repetitive administrative and operational tasks through the implementation of AI and automation tools.
- Improve organizational efficiency and scalability through process redesign and technology-enabled solutions.
AI Tool Implementation & Governance
- Evaluate, implement, maintain, and optimize AI platforms and business productivity systems.
- Support AI governance initiatives in partnership with internal stakeholders, including legal and operational leadership, to ensure responsible and compliant technology usage.
- Assist in the development and maintenance of policies, process documentation, data security standards, and best practices related to AI and technology adoption.
- Promote responsible, effective, and secure use of AI technologies across the organization.
Data & Reporting Systems
- Improve reporting visibility and business intelligence capabilities across Troika’s operating divisions.
- Support the development of integrated dashboards, reporting tools, and centralized data systems.
- Provide operational reporting insights and support leadership with data-driven decision-making.
Training & Change Management
- Lead internal AI education, training, and rollout initiatives across the organization.
- Train and support leaders and employees on practical AI applications, workflows, and operational efficiencies.
- Support organizational adoption of new technologies, systems, and digital processes through effective change management practices.
Technology Innovation
- Continuously monitor emerging technologies, industry trends, and AI advancements relevant to real estate development, construction, property management, and business operations.
- Recommend scalable and practical technology solutions that support operational growth and continuous improvement.
IT Vendor Management
- Coordinate and maintain relationships with third-party IT providers, consultants, and technology vendors.
- Ensure technology service levels, responsiveness, and infrastructure performance meet organizational requirements.
- Support technology-related projects, upgrades, and systems implementations across the business.
Cybersecurity & Risk Management
- Support cybersecurity initiatives, data protection measures, and technology risk mitigation strategies.
- Assist with the development, implementation, and maintenance of IT policies, procedures, and protocols.
- Coordinate technology incident response, recovery planning, and risk management activities as required.
Qualifications & Experience
- Post-secondary education in Information Technology, Computer Science, Business Technology Management, Engineering, Data Analytics, Operations Management, or a related field. Equivalent combination of education and practical experience will also be considered.
- 2–7+ years of progressive experience in business systems, technology integration, digital transformation, process improvement, AI implementation, operations technology, or related roles.
- Demonstrated experience implementing AI, automation, and business productivity solutions within a fast-paced operational environment.
- Hands-on experience working with AI platforms and tools such as OpenAI, Claude, Microsoft Copilot, Power Automate, n8n, or similar automation and workflow technologies.
- Experience integrating and optimizing business systems and platforms such as Microsoft 365, SharePoint, HubSpot, CRM systems, ERP systems, project management software, or property management platforms.
- Strong technical capability with experience supporting or developing workflow automations, API integrations, reporting tools, or low-code/no-code systems solutions.
- Proficiency in Microsoft Office 365 applications, collaboration platforms, and reporting tools.
- Demonstrated ability to analyze business workflows, identify operational inefficiencies, and implement scalable process improvements.
- Experience managing technology vendors, consultants, or outsourced IT providers is considered an asset.
- Strong understanding of cybersecurity best practices, data governance, privacy considerations, and responsible technology usage.
- Excellent communication and interpersonal skills with the ability to work effectively with both technical and non-technical stakeholders.
- Strong organizational, project management, and prioritization skills with the ability to manage multiple initiatives simultaneously.
- Experience within real estate development, construction, property management, or similar operational industries is considered an asset.
- Demonstrated ability to work independently, exercise sound judgment, and thrive in a fast-paced and evolving business environment.

Work Schedule
Standard schedule: Monday to Friday
Flexibility required for emergencies, and seasonal demands.

Rate of Pay:
- Salary $95,000 - $135,000 ($/Hr -/Hr) per annum or Hourly rate (actual salary offered will be commensurate with education and experience).
