We are seeking a professional and organized Receptionist/Administrative Assistant to join our team. This role is vital in ensuring smooth daily operations by providing exceptional front desk support, managing administrative tasks, and delivering excellent customer service. Duties:
- Greet visitors and clients professionally at the front desk
- Manage multi-line phone systems, direct calls, and take accurate messages
- Perform data entry and maintain organized filing systems
- Schedule appointments and coordinate meetings using Microsoft Office
- Handle correspondence via email and phone, demonstrating excellent phone etiquette
- Assist with project billing and invoicing, using internal databases
- Support clerical tasks such as photocopying, scanning, and document proofreading
- Provide customer support by addressing inquiries promptly and courteously
- Maintain a clean and organized reception area and office environment
Skills:
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Strong computer skills with experience in data entry and document management
- Knowledge of invoicing processes
- Excellent organizational skills with attention to detail and accuracy
- Effective communication skills with professional phone etiquette
- Prior clerical or administrative experience preferred, with exposure to construction and accounting processes
- Ability to multitask efficiently in a busy office setting
- Experience with front desk operations, multi-line phone systems, filing, and customer service roles
- Customer support experience with a friendly, professional demeanor
