Exclusive Real Estate Assistant — Luxury Real Estate Team
We are seeking a highly organized, detail-oriented, and creative Exclusive Real Estate Assistant to support a fast-paced luxury real estate business. This role is designed for someone who thrives in a dynamic environment, understands the nature of high-level client service, and can seamlessly manage operations, marketing coordination, and creative execution behind the scenes.

Key ResponsibilitiesAdministrative & Operational Support
- Manage daily schedules, appointments, meetings, and client coordination
- Assist with transaction management from listing to closing
- Prepare and organize real estate documents, agreements, disclosures, and forms
- Coordinate with lawyers, mortgage brokers, stagers, photographers, contractors, and clients
- Maintain CRM systems, databases, and client records
- Handle email communication, follow-ups, and general office administration
- Assist with organizing open houses, broker events, and private showings
Marketing & Creative Support
- Assist in creating marketing campaigns for listings and brand promotion
- Coordinate social media content, posting schedules, and digital presence
- Help develop creative ideas for videos, branding, client engagement, and property launches
- Work alongside designers, videographers, and marketing professionals
- Prepare brochures, presentations, feature sheets, and promotional materials
- Support website updates, email campaigns, and online advertising initiatives
Real Estate Knowledge & Client Experience
- Understand the flow and nature of real estate transactions
- Be familiar with real estate terminology, contracts, and industry processes
- Maintain a high level of professionalism and confidentiality
- Deliver strong communication and client service at all times
- Anticipate challenges and help create efficient systems and solutions
Qualifications
- Previous experience in real estate administration, marketing, or assistant roles preferred
- Familiarity with real estate documents, MLS systems, and transaction processes
- Strong organizational and multitasking abilities
- Excellent communication and interpersonal skills
- Creative mindset with attention to branding and presentation
- Proficiency in Microsoft Office, Google Workspace, Canva, and social media platforms
- Ability to work independently while managing multiple priorities
- Professional appearance, positive attitude, and strong work ethic
