Job Overview
As a Client Care associate, you will be the face of KX Yorkville—the first point of contact for prospective clients and a trusted resource for our members. You’ll help clients book their initial consultations, coordinate ongoing services across our multidisciplinary programs, and guide them through therapies like HBOT. Beyond administration, you’ll play a key role in creating a professional, polished, and uplifting environment that reflects KX’s reputation.
Key Responsibilities
- Confidently contact, qualify, and follow up with new leads, clearly communicating the value of KX services and booking Initial Consultations and appointments.
- Use a consultative, relationship-based sales approach to understand client goals, recommend appropriate services, address hesitations, and guide clients toward the right next step.
- Support retention and revenue growth by ensuring clients are booked in advance and conducting proactive outreach to lost leads, inactive clients, and renewal opportunities.
- Lead the client experience for Hyperbaric Oxygen Therapy, including service education, bookings, package sales, renewals, and ongoing client support. Full training is provided.
- Assist with administrative duties across the health facility, including scheduling, invoicing, payment collection, client records, and reporting.
- Maintain strong knowledge of KX services, pricing, packages, promotions, and retail products to confidently support sales and client questions.
- Engage with the KX community through client communication, promotional outreach, social media support, and campaign follow-up.
- Build strong client relationships while consistently demonstrating professionalism, warmth, confidence, discretion, and attention to detail.
- Maintain a clean, organized, and welcoming health facility while acting as a brand ambassador for the values, culture, and high standards of KX Yorkville.
Requirements
- A genuine passion for health, exercise, and wellness, with a strong desire to help others improve their lives.
- At least 1 year of administrative or client service experience, ideally within health and wellness, hospitality, retail, or another premium service environment.
- At least 1 year of sales experience, with confidence speaking to prospective clients, recommending services, and supporting conversion.
- Exceptional written and verbal communication skills, with a warm, professional, and persuasive approach.
- Strong relationship-building skills and the ability to create trust with both prospective and existing clients.
- Highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced environment.
- Proficient with Google Workspace, including Gmail, Docs, Sheets, and Drive.
- Access to a reliable laptop.
- Previous experience with Mindbody software is a strong asset.
