The Lake Bonavista Homeowners Association (LBHA) is seeking an organized, professional, and service-oriented Office Manager to lead the day-to-day operations of our administration office.
Reporting directly to the General Manager, you will oversee office operations, bookkeeping, payroll administration, member services, events, programs, and office staff while serving as one of the primary points of contact for more than 3,200 member households.

Position Summary
The Office Manager is responsible for the efficient operation of the LBHA office and serves as an integral member of the management team.
The successful candidate will oversee:
- Office administration
- Bookkeeping and financial administration
- Payroll and benefits administration
- Member services
- Office staff supervision
- Event and program administration
- Website, newsletter and social media
- Audit preparation
- Board reporting
This role requires exceptional organizational skills, attention to detail, professionalism, and a genuine passion for customer service.
Key Responsibilities
Financial Administration & Bookkeeping
- Manage Accounts Payable and Accounts Receivable
- Process vendor invoices and payment runs
- Complete monthly bank and credit card reconciliations
- Prepare deposits
- Process membership and program revenue
- Maintain Sage 50 accounting records
- Process Helcim batch entries
- Monitor outstanding accounts and collections
- Prepare quarterly GST filings
- Complete the Alberta Annual Return
- Prepare financial reports for management and the Treasurer
- Coordinate annual audit preparation and work directly with MNP auditors
Payroll & Human Resources
- Process bi-weekly payroll using Ceridian Powerpay
- Maintain employee files and HR records
- Administer employee benefits
- Process new hire documentation
- Prepare Records of Employment (ROEs)
- Support the General Manager with HR administration
- Maintain confidentiality of employee information
Member Services
Provide exceptional service to members by:
- Processing memberships
- Managing member accounts
- Processing annual fee payments
- Coordinating room rentals
- Issuing replacement membership cards
- Responding to member inquiries
- Maintaining accurate records within Titan Software
Events & Programs
Coordinate and assist with LBHA's annual events and recreational programming including:
- Winter Family Fun Day
- Easter Egg Hunt
- Canada Day Celebration
- Movie Night
- Annual General Meeting
- Christmas Skate
- New Year's Eve Fireworks
Responsibilities include:
- Coordinating vendors and instructors
- Program registration
- Volunteer coordination
- Budget tracking
- Event logistics
- Administrative support for committees
Communications & Marketing
- Maintain the LBHA website
- Prepare monthly newsletters
- Manage Facebook and Instagram accounts
- Prepare member communications
- Update office information and signage
Office Operations
- Supervise seasonal office staff
- Schedule office coverage
- Maintain office supplies and equipment
- Liaise with security, contractors and service providers
- Coordinate office procedures
- Attend management, board and committee meetings as required
Qualifications
We're looking for someone who has:
- Minimum 3 years of office management experience
- Bookkeeping or accounting experience
- Experience with payroll administration
- Strong Microsoft Office skills (Excel, Word, Outlook)
- Experience with accounting software (Sage preferred)
- Ability to quickly learn new software systems
- Excellent organizational and time management skills
- Outstanding customer service skills
- Strong written and verbal communication abilities
- High level of professionalism and confidentiality
Experience with non-profit organizations, recreation, hospitality or community associations is considered an asset.
