Job Description
Sanscorp Products Ltd. is seeking a dependable and organized Scale House Operator / Administrative Clerk to join our team in Maple Ridge.
This position supports the daily movement and sale of aggregate, sand, topsoil, and related materials to contractors, truck drivers, homeowners, and other customers.
The successful candidate will operate the scale window, complete accurate Fast-Weigh tickets, scale trucks, assist customers and drivers, coordinate with yard personnel and dispatch, organize daily paperwork, and provide general administrative support.
This is a fast-paced position with frequent interruptions and changing priorities. The ideal candidate will have strong communication, decision-making, problem-solving, organizational, and time-management skills.

Responsibilities
Scale Window and Truck Scaling
- Operate the scale window and complete accurate tickets using the Fast-Weigh system.
- Weigh trucks before and after loading and accurately record tare, gross, and net weights.
- Enter and maintain customer, truck, hauler, product, order, destination, and weight information.
- Add new trucks and update tare information when required.
- Monitor truck weights and communicate potential legal-weight or Gross Vehicle Weight Rating concerns in accordance with company procedures.
- Prepare scale tickets, packing slips, and other supporting documents.
Customer and Order Coordination
- Assist drivers, contractors, homeowners, and other customers at the scale-house window and by telephone.
- Confirm scheduled orders, product requirements, pickup locations, and delivery information.
- Coordinate with equipment operators, drivers, customers, and dispatch to keep truck and order flow organized.
- Verify that customers and drivers are directed to the correct material and loading location.
- Process basic FOB orders and cash, debit, and credit card payments.
- Set up customer, vehicle, and hauler information as required.
- Refer larger quotations, technical questions, and project inquiries to the appropriate sales or operations contact.
Yard Communication and Safety
- Communicate with equipment operators, truck drivers, and yard personnel using two-way radio.
- Direct truck movement through the yard and communicate loading priorities, delays, or traffic concerns.
- Relay material availability and stock-level concerns to operations or dispatch.
- Maintain awareness of truck and equipment movement around the scale house and yard.
- Support visitor sign-in, site-safety requirements, and customer or contractor direction.
- Monitor activity around the controlled railway crossing and promptly communicate unsafe activity or concerns.
Daily Paperwork and Administrative Support
- Create and maintain daily folders and transaction records.
- Collect and review driver and trucking tickets for completeness and accuracy.
- Organize daily tickets and supporting documentation for invoicing.
- Complete and balance daily cash, debit, and credit card transaction sheets, including Visa records.
- Prepare deposits and provide the required documentation to the main office.
- Assist with filing, tracking sheets, mail, supplies, and general office administration.
- Maintain a clean and organized scale house and surrounding work area.
- Provide scheduled scale-house coverage at either Sanscorp location in Maple Ridge.
Qualifications
- Legally authorized to work in Canada.
- Grade 12 diploma or equivalent.
- One to two years of experience in an administrative, customer service, dispatch, ticketing, or related role is preferred.
- Proficient with Microsoft Outlook, Word, and Excel.
- Strong mathematical, data-entry, and record-keeping skills.
- Excellent interpersonal, written, and verbal communication skills.
- Strong organizational, judgment, problem-solving, and time-management skills.
- Able to manage frequent interruptions and changing priorities.
- Able to work independently and as part of a team.
- Strong attention to detail and commitment to accuracy.
- Calm and professional when working in a busy or high-pressure environment.
- Safety-focused with strong situational awareness.
- Valid Class 5 driver’s licence and reliable transportation are required.
Preferred Experience
Experience in any of the following areas would be considered an asset:
- Truck scales or scale-house operations.
- Aggregate, construction, trucking, or industrial operations.
- Dispatch or transportation coordination.
- Invoicing or accounts receivable support.
- Point-of-sale, ticketing, or scale software.
Training will be provided to the successful candidate.
Work Environment
This position is based in a scale house within an active aggregate yard. The employee must remain alert to truck and equipment movement and may occasionally be exposed to dust, noise, and changing weather conditions when outside the scale house.
