Real Estate Administrative Coordinator
Part-Time or Full-Time | In-Office | Kelowna, BC
Nyrose & Associates is seeking an organized, detail-driven Real Estate Administrative Coordinator to support our busy real estate team.
This is a dynamic coordination role ideal for someone who thrives in a fast-paced environment, enjoys keeping projects moving, and takes pride in getting the details right. Much of the position involves transaction coordination, deadline management, listing preparation, and client communication.
We’re looking for someone who enjoys being the person behind the scenes keeping everything organized, on track, and running efficiently.
What You’ll Do
- Coordinate real estate transactions from listing to closing
- Prepare and review listing and contract paperwork for accuracy and completeness
- Manage timelines, conditions, deadlines, and follow-ups
- Input and maintain listings within MLS/board systems
- Coordinate photography, measurements, signage, lockboxes, and marketing preparation
- Communicate with agents, clients, lawyers, mortgage brokers, inspectors, and vendors
- Maintain CRM systems, digital files, and transaction records
- Assist with listing advertising and social media execution using templates and existing brand systems
- Support agents and management team with day-to-day administrative coordination
- Help ensure a smooth and professional client experience throughout the transaction process

- Real estate administration or transaction coordination experience is an asset, but not required for the right candidate

Position Details
- Flexible schedule based on workload and transaction volume
- Approx. 20–35 hours per week depending on role structure
- In-office position based in Kelowna (Weekdays)
- Opportunity for expanded marketing responsibilities depending on skillset and experience
This role is ideal for someone who enjoys organization, coordination, and helping a team operate at a high level behind the scenes.
Pay: From $24.00 per hour
