This is NOT a traditional front desk position.
We are looking for a mature, highly organized, detail-oriented professional to become the operational anchor of our facility.
This individual will play a key role in sales, member retention, renewals, customer service, front desk operations, and day-to-day facility management.
The successful candidate must be capable of working independently, leading by example, solving problems proactively, and helping ensure the business runs smoothly when management is not on site.
If you are looking for a position where you simply answer phones and greet members, this role is not for you.
Key Responsibilities Operations & Administration:
- Oversee daily front desk operations
- Manage Mindbody software and member accounts
- Process payments and resolve billing issues
- Maintain accurate records and documentation
- Complete opening and closing procedures
- Ensure the facility remains organized, professional, and operational at all times
- Maintain operational reports and checklists
- Monitor staff attendance, facility issues, and operational concerns
- Communicate important updates to management
Sales & Business Growth:
- Follow up with new leads
- Book consultations and trial appointments
- Conduct facility tours
- Convert prospects into members
- Maintain accurate CRM and sales records
- Help achieve monthly sales goals
- Contribute directly to the growth of the business
Member Retention & Renewals:
- Build strong relationships with members
- Conduct member follow-up calls
- Assist with membership renewals
- Reduce cancellations and improve retention
- Address member concerns before they become problems
- Help members stay engaged and committed to their goals
Retention and membership renewals are a major part of this role and will be measured as part of performance evaluations and bonus opportunities.

- Assist management in ensuring systems and procedures are being followed
- Act as a trusted representative of the business when management is not present
Qualifications:
You will be automatically rejected if you do not meet ALL of the following requirements:
- Minimum 2 years experience in Customer Service
- Minimum 2 years experience in Sales
- Previous Administrative or Operations experience
- Experience working in a gym, fitness facility, medical office, physiotherapy clinic, chiropractic clinic, or similar service-based business
- Strong computer skills
- Strong organizational skills
- Excellent verbal and written communication skills
- Proven ability to multitask and manage competing priorities
- Leadership experience is considered a strong asset
- Mindbody experience is considered a strong asset

- $45,000 Base Salary
