We’re currently recruiting for a part-time Administrative Assistant. The Administrative Assistant will report to the Department Head Marketing, Communications and Public Affairs to provide operational support. Job Details:
Position Title: Administrative Assistant
Status: Part-Time Administration (1-Year Contract)
Hours: 24 hours per week, On-site
Program/Department: Department Head of Marketing, Communications and Public Affairs
Campus/Location: The University of Guelph-Humber (207 Humber College Blvd., Toronto) is located within the traditional and treaty lands of the Mississaugas of the Credit.
Minimum Starting Salary: $30.54; starting salaries are determined based on qualifications and years of related experience.
About the Administrative Assistant, MCP Role:
The incumbent will assist with calendar and project support. Responsibilities also include reviewing expense reports, supporting events, and contributing to efficient and effective operations within the Marketing, Communications and Public Affairs portfolio. This role requires strong communication skills, professionalism, and attention to detail.
Key Responsibilities:
Support calendar management for the Department Head of Marketing, Communications and Public Affairs, including coordinating meetings and navigating scheduling priorities
Provide administrative support, including notetaking and minutes.
Review all expense reports/invoices to ensure submissions align with institutional policies and procedures and purchase orders.
Maintain and organize records, files, and documentation with a high level of accuracy
Assist with data collection, entry, and reporting as required
Manage correspondence, including email communications and document preparation
Support institutional events and departmental activities
Review and handle confidential documents and sensitive information with discretion
Assist with maintaining SharePoint sites and other internal systems
Respond to general inquiries and provide excellent customer service
Perform other related administrative duties as assigned
What you bring to the role:
Education
A diploma in business administration or a closely related field.
Experience/Skill
The successful candidate will have:
Minimum of two years of work experience, preferably within a post-secondary institution
Proficiency in Microsoft Office Suite applications, including Outlook, MS Word, and MS Excel
High degree of tact, diplomacy, and professionalism
Strong communication and interpersonal skills
Excellent time-management and prioritization abilities
Well-organized and detail-oriented, with the ability to collect and maintain data with a high level of accuracy
