Position Summary
The Administrative Assistant provides frontline administrative and client service support for BGS Employment programs. As the first point of contact for many participants, the Administrative Assistant ensures a welcoming and professional experience while coordinating client information, scheduling, and resource management. This role supports program delivery by maintaining accurate data, assisting clients with inquiries, and ensuring smooth day-to-day operations.
Key Responsibilities
· Greet and assist clients, visitors, and callers in a professional, welcoming manner
- Respond to client inquiries via phone, email, and in-person, providing accurate program information.
- Conduct preliminary screenings to assess service suitability and refer clients to appropriate staff.
- Maintain and update program resource inventory, ensuring materials are available and accessible.
- Schedule appointments and maintain office calendars.
- Maintain reception and waiting areas in a tidy, organized state
· Assist with meeting coordination or room bookings and minute taking
- Handle mail, deliveries and courier requests
- Enter client information and service activities into Compass with accuracy and attention to detail.
- Support the program team with administrative tasks, data collection, and reporting as needed.
- Provide customer service that is professional, empathetic, and aligned with BGS’s client-centered approach.
- Collaborate with team members to ensure seamless program operations and client support.
- Perform additional support duties as required by the Program Manager.
Qualifications
- Minimum 2 years of education and/or experience in administration, human services, or a related field.
- Proven administrative skills and ability to provide high-quality customer service.
· Proficient Computer Skills in MS Office: Word, Basic Excel, Outlook, Google Workspace)
· Strong attention to detail and accuracy
· Must be dependable and punctual
- Ability to provide both qualitative and quantitative information for reporting purposes.
- Strong interpersonal and communication skills that encourage and support positive change in client knowledge, attitudes, and behaviours.

Pay: $18.00-$20.00 per hour
Expected hours: 40 per week
