About the Role:
The Office Coordinator is responsible for ensuring the efficient day-to-day operation of our Edmonton downtown business offices while providing administrative, operational, and customer service support to staff, leaders, members (renters) and external stakeholders. This role oversees office administration, facilities coordination, vendor management, records management, and office systems to support a productive, professional, and welcoming work environment.
Responsibilities:
- Coordinate daily office operations, administrative processes, and record management.
- Manage office supplies, equipment, and workplace resources.
- Coordinate office maintenance, repairs, and vendor relationships.
- Manage our Edmonton downtown offices facility bookings and help minimize rental vacancies.
- Process invoices, purchase orders, expense reports, and support office budgeting.
- Coordinate meetings, events, employee onboarding, and administrative projects.
- Support workplace health and safety initiatives and maintain compliance documentation.
- Prepare reports related to office space bookings and rental opportunities.
- Serve as the primary contact for office inquiries and facility bookings while delivering excellent customer service.
Qualifications:
- Diploma or certificate in Business Administration, Office Administration, or related field.
- 3–5 years of office management or administrative leadership experience managing budgets and vendors.
- Knowledge of occupational health and safety requirements would be an asset.
- Strong proficiency in Microsoft 365 (Outlook, Word, Excel, Teams, SharePoint).
- Strong organizational, time-management and multitasking skills.
- Excellent written and verbal communication skills.
- Strong attention to detail and a commitment to providing exceptional customer service
- Ability to work independently while collaborating effectively with multiple departments
- Ability to obtain a clear Police Information Check (PIC) with Vulnerable Sector Search (VSS)
