Rare Toronto is a growing Toronto-based media and marketing agency that helps businesses build their online presence through content creation, social media marketing, video production, paid advertising, branding, and web development.
We are looking for a full-time, in-person Sales & Marketing Coordinator to support our agency’s growth and day-to-day operations.
This is a versatile role for someone who is confident speaking with business owners, comfortable handling client and prospect calls, organized with follow-ups, and capable of creating basic marketing content using tools such as Canva and CapCut.
The ideal candidate is professional, proactive, and comfortable balancing sales support, client communication, administrative tasks, and creative work throughout the day.
Key ResponsibilitiesSales and Lead Management
- Answer inbound calls and respond professionally to inquiries from potential clients
- Conduct outbound prospecting through phone calls, email, and social media outreach
- Speak confidently with business owners and decision-makers during first-touch conversations
- Ask the right questions to understand each prospect’s needs and determine whether our services are a good fit
- Explain Rare Toronto’s services clearly and professionally
- Book qualified leads for meetings and discovery calls
- Follow up with leads consistently to keep opportunities moving forward
- Maintain accurate records of calls, conversations, and follow-ups using our CRM and internal tools
- Assist with preparing and sending proposals, invoices, and onboarding information when required
Client Communication and Agency Support
- Act as a professional first point of contact for existing clients and new inquiries
- Help manage scheduling, meeting coordination, reminders, and client follow-ups
- Support the agency owner with daily administrative and operational tasks
- Keep client requests, deadlines, and internal tasks organized
- Communicate with the creative team to help ensure projects remain on track
- Attend occasional client meetings, networking events, or content shoots as needed
Content Creation and Marketing Support
- Create social media graphics, presentations, proposals, and branded materials using Canva
- Complete basic short-form video editing using CapCut or similar software
- Assist with editing Reels, TikToks, and social media content for the agency and its clients
- Organize digital files, content assets, and project materials
- Support the agency’s own social media presence and marketing activities
Qualifications
- Previous experience in sales, customer service, client relations, administration, or a marketing-related role
- Confident and professional communication skills over the phone, in person, and through email
- Comfortable speaking with new clients and business owners for the first time
- Experience using Canva for social media content, presentations, or marketing materials
- Basic experience editing short-form videos using CapCut or similar software
- Strong organizational skills and attention to detail
- Reliable follow-through with calls, messages, deadlines, and assigned tasks
- Ability to manage multiple priorities in a fast-paced environment
- Positive attitude, professional appearance, and willingness to learn
- Comfortable working independently while also collaborating with a team
Assets
The following are considered an advantage but are not required:
- Previous experience working at a marketing agency, media company, or creative business
- Experience using a CRM system
- Familiarity with Meta Ads, social media platforms, or digital marketing
- Experience preparing proposals, invoices, or client-facing presentations
- Bilingual or multilingual communication skills
- A valid driver’s licence and access to a vehicle
