Overview
We are seeking a detail-oriented and organized Administrative Assistant to join our team. This role is vital in maintaining smooth office operations, providing exceptional customer service, and supporting various administrative functions. The ideal candidate will possess strong computer skills, experience with office management, and the ability to handle multiple tasks efficiently in a fast-paced environment.
Duties
- Manage front desk responsibilities, including greeting visitors and answering multi-line phone systems with professional phone etiquette
- Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks
- Handle filing systems, document proofreading, and general clerical tasks to ensure organized recordkeeping
- Provide customer support through effective communication and problem-solving skills
- Assist with bookkeeping and financial record management, including invoicing and billing processes
- Support medical or dental office operations as needed, including appointment scheduling and patient correspondence
- Coordinate appointments, meetings, and calendar management for staff members
- Ensure the office environment is organized, clean, and welcoming for clients and visitors
Requirements
- Proven clerical or administrative experience in an office setting
- Strong proficiency with Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills
- Experience with QuickBooks or bookkeeping is preferred
- Excellent organizational skills with the ability to prioritize tasks effectively
- Exceptional written and verbal communication skills, including phone etiquette
- Ability to handle multi-line phone systems efficiently and professionally
- Attention to detail for proofreading documents and maintaining accurate records
- Familiarity with medical or dental office procedures is a plus; dental receptionist or medical office experience is desirable
- Strong computer skills with the ability to adapt to new software applications quickly
- Demonstrated ability to provide excellent customer service in person and over the phone
