1. Administrative & Clerical Support
Data Entry: Accurately input client profiles, passport details, flight itineraries, and hotel booking information into the company’s CRM/travel management system.
Document Preparation: Organize, print, and assemble travel packages for clients, including itineraries, e-tickets, hotel vouchers, and travel insurance policies.
Office Management: Maintain organized physical and digital filing systems,handle incoming/outgoing mail, and ensure the reception area is tidy.
2. Front Desk & Customer Support
First Point of Contact: Greet walk-in clients warmly, answer incoming phone calls, and manage the general company email inbox.
Inquiry Triaging: Assess clients' basic travel needs (destination, budget, travel dates) and efficiently direct them to the appropriate Travel Consultant.
General Inquiries: Provide accurate information regarding office hours, general tour itineraries, departure dates, and basic pricing.
3. Operations & Vendor Coordination
Booking Confirmation: Assist in sending booking requests and follow-ups to airlines, hotels, local tour operators, and transportation providers.
Pre-Departure Notifications: Send out final "Pre-Departure Briefings" to clients, reminding them of meeting times, packing essentials, weather forecasts, and local customs.
4. Basic Financial Assistance
Payment Processing: Process client payments (cash, credit cards, or wire transfers) and issue official receipts or invoices.
Expense Tracking: Collect and organize receipts, invoices, and expense reports from tour guides and local operators for the accounting department.
Qualifications:
Fluent in Cantonese, Mandarin, English
Teamwork spirit
Experience in travel agency is preferred
