Earth Child Montessori School is excited to open our new Hamilton campus and is seeking an enthusiastic, organized, and proactive School Administrator to join our growing team.
The successful candidate will complete their initial training at one of our Richmond campuses before transitioning to our new Hamilton location upon its opening.
As the first point of contact for many of our families, the School Administrator plays a vital role in creating a warm, welcoming, and professional environment. This position is ideal for someone who enjoys working with children and families, thrives in a fast-paced setting, and excels at organization, communication, and multitasking.
Key Responsibilities:
- Conduct school tours for prospective families and provide detailed information about our programs and enrollment process.
- Respond promptly and professionally to parent inquiries by phone, email, and in person.
- Guide new families through registration, enrollment, and orientation.
- Build positive relationships with current and prospective families while providing exceptional customer service.
- Oversee daily office operations, including attendance tracking, student registration, billing, subsidy applications, and record management.
- Maintain accurate student, family, and staff records while ensuring confidentiality.
- Ensure all licensing, health, and safety documentation is complete and up to date.
- Assist with scheduling, classroom transitions, and general school coordination.
- Support the School Manager with administrative projects and daily operations.
- Coordinate and support school events, including Graduation Ceremony, Winter Concert, Open House, Parent-Teacher Conferences, Seasonal Celebrations, Field Trips, and other school activities.
- Prepare newsletters, announcements, and parent communications.
- Manage the school's social media platforms and create engaging weekly content.
- Assist with marketing initiatives and community outreach to promote the school.
- Assist with staff onboarding and orientation.
- Coordinate office supplies and maintain an organized administrative office.
- Work collaboratively with teachers and school leadership to ensure smooth daily operations.
- Support HR and payroll administration as required.
- Resolve day-to-day operational issues and respond effectively to unexpected situations.
Qualifications
- Experience in school administration, childcare administration, office management, or a related administrative role.
- Excellent verbal and written communication skills.
- Strong organizational and time management skills.
- Outstanding customer service and interpersonal skills.
- Ability to prioritize multiple tasks in a fast-paced environment.
- Strong problem-solving and stress-management skills.
- Adaptable, flexible, and able to respond calmly to changing priorities.
- Comfortable speaking with families and conducting school tours.
- Proficient in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace.
- Experience with childcare management software (such as Esikidz) is an asset.
- Knowledge of BC childcare funding programs, including CCFRI and the Affordable Child Care Benefit, is an asset.
- Experience using Canva, Photoshop, or other graphic design software is an asset.
- Valid First Aid & CPR Certification (or willingness to obtain).
- Successful Criminal Record Check.
- Legally eligible to work in Canada.
