Job Summary
This is a temporary Hospitality Assistant role supporting short-term housing operations, including summer camp occupancy, summer conference occupancy, and other high-turnover accommodation periods. The Hospitality Assistant provides front-line customer service to residents and guests while helping ensure check-in, checkout, administrative preparation, unit access items, and in-unit amenities are organized and ready for a welcoming guest experience.
Job Description
- Provide exceptional customer service and respectful support to residents and guests while following Knightstone Student Communities policies and procedures.
- Perform resident and guest check-in and checkout procedures.
- Assist with the preparation and administration of turn, make-ready, move-in, and move-out activities during peak occupancy periods.
- Respond to standard resident and guest questions, complete follow-ups as needed, and serve as an information resource for short-term accommodation policies and procedures.
- Assist with the turn and make-ready process for short-term housing and high-turnover occupancy to confirm assigned spaces are ready for check-in.
- Participate in move-out and unit walkthrough processes, including confirming guests have vacated spaces, supporting trash-out processes, documenting damages, and completing related follow-up.
- Participate in rotation schedules for desk shifts, make-ready shifts, checklist rounds, move-in days, move-out days, and related operational needs.
- Prepare and distribute check-in and checkout materials, including packets, keys, access cards, unit condition forms, and other required items.
- Ensure the check-in environment is welcoming and prepared, including directional signage, check-in setup, and guest-facing materials.
- Report facilities issues through the established work order system and notify supervisors of urgent or unresolved concerns.
- Assist with inventory audits before and after short-term accommodation or high-turnover periods, including unit access items, keys, amenity passes, and in-unit guest items.
- Participate in required orientation, training sessions, and staff meetings.
Experience
High school diploma or equivalent experience in customer service, hospitality, residence operations, student housing, short-term accommodations, or a similar industry is preferred.
Qualifications
- Strong customer service skills and the ability to maintain a positive, professional attitude in a fast-paced environment.
- Ability to communicate clearly and respectfully with residents, guests, team members, and external customers.
- Basic knowledge of Microsoft Office and general administrative practices.
- Ability to take direction, communicate progress, stay organized, and support operational priorities.
- Ability to adapt to the needs of the property, work as part of a team, solve routine issues, and show initiative.
- General understanding of housekeeping, cleaning, and unit make-ready tasks is an asset.
Physical Requirements
This role may require standing, walking, using hands to handle materials, reaching, sitting, climbing, balancing, stooping, kneeling, crouching, talking, and hearing. The employee must be able to lift and/or move up to 20 pounds. Specific vision abilities may include close vision, distance vision, colour vision, peripheral vision, depth perception, and the ability to adjust focus.
