Job Overview
We are seeking a dedicated and organized Surgical Coordinator specializing in Ophthalmology to join our healthcare team. The ideal candidate will serve as a vital link between patients, surgical teams, and administrative staff, ensuring smooth operations before, during, and after ophthalmic surgical procedures. This role requires excellent communication skills, attention to detail, and a strong understanding of medical office procedures to provide exceptional patient care and support efficient clinic workflows.
Responsibilities
- Coordinate pre-operative patient scheduling and ensure all necessary documentation is completed accurately.
- Explain instructions to patients for their day of surgery, including check-in, preparation, and post-operative instructions.
- Maintain and update electronic medical records (EMR) systems such as Epic with precision and confidentiality.
- Serve as the primary point of contact for patients, addressing inquiries related to procedures, appointments, and follow-up care.
- Collaborate with ophthalmologists, nurses, and administrative staff to facilitate seamless surgical operations.
- Assist with front desk duties including patient registration, insurance verification, and appointment confirmations.
- Educate patients about their procedures, post-operative care, and answer any questions to promote comfort and understanding.
- Support retail sales when applicable by providing knowledgeable assistance to patients.
- Ensure compliance with healthcare regulations and maintain accurate documentation throughout the patient care process.
Requirements
- Prior experience in a medical office setting, preferably within ophthalmology or optometry.
- Familiarity with electronic medical records systems such as Epic or similar platforms.
- Strong knowledge of medical terminology related to ophthalmology and surgical procedures.
- Excellent patient care skills with a compassionate approach to patient interactions.
- Experience with front desk operations including scheduling, insurance processing, and customer service.
- Experience in ophthalmology/optometry or background in retail sales is a plus but not mandatory.
- Ability to work efficiently in a fast-paced environment while maintaining attention to detail.
- Knowledge of pediatric patient care is advantageous.
- Strong organizational skills with the ability to multitask effectively in a clinical setting.

Applicants must have a minimum of one year’s experience working in an ophthalmology, surgery, or optometry office. Preference will be given to candidates with related medical work experience as a surgical coordinator, ophthalmic technician/assistant, optometric assistant, as well as fluency in other languages (e.g. Cantonese, Mandarin, Ukrainian, Spanish). The successful candidate must be perfectly fluent in English (speaking, reading, and writing), be able to multitask effectively, have excellent organizational skills and attention to detail, and be committed to providing exceptional customer service. Experience working with Connect Care and electronic medical records (EMR) will be considered an asset. Other assets include experience in ophthalmic screening and ophthalmic testing, and experience in transcription, such as preparing letters to be sent to hospitals, clinics and physicians offices.
