Summary
We are seeking a highly organized and detailed-oriented Administrative Coordinator to support our growing team. This role combines administrative support, customer service, contract administration and operational reporting. The ideal candidate is proactive, comfortable managing multiple priorities and able to work independently in a fast-paced environment.
Key Responsibilities:
Administrative Support
- coordinate the flow of information within the team
- answer telephone calls, emails and customer inquiries
- maintain manual and electronic filing systems
- assist with timesheet and expense submissions
- greet visitors and provide professional customer services
Operations & Service Coordination
- process weekly timesheets and employee expenses
- submit monthly parking and phone expense reports
- create and manage deficiency work orders
- update customer records, contact information and master data in workflow system
- create annual work orders for service contracts
- distribute subcontractor work orders
- maintain operational tracking sheets and reporting spreadsheets
- support budget preparation and reporting activities
- prepare annual contract quotations and renewals
- coordinate customer confirmations for upcoming scheduled work
- update internal boards and systems with new customer information
Qualifications
- secondary [high] school graduation certificate, minimum
- 1-2 years of administrative, operational or office coordination experience
- strong proficiency in Microsoft Office [Excel, Word, Outlook] and Google Docs
- experience with service management software is an asset
