About the Role
You’re the front line of how we build our team. This isn’t a role where you fill seats — it’s a role where you protect the standard. Every person we hire shapes our culture, our performance, and our future, and you’re the one making sure we only bring in people who belong here.
You’ll partner with hiring managers across the business to build job profiles, source and screen candidates, run behavioral interviews, and guide hiring decisions through our Right Person / Right Seat compass. You’ll be measured on the quality of hires, not the speed of filling roles.
Two customers, one standard. Hiring managers get a specialist, not an order-taker — someone who gets under the hood of the role and comes back with shortlists that fit. Candidates get a process that’s clear, responsive, and direct. They know where they stand, they get answers, and whether they get the offer or not, they walk away with a straight read on us.
What You’ll Be Doing
Intake & Role Kickoff
- Meet with hiring managers when a new role goes live to understand the position, the team, and the candidate profile they’re looking for.
- Draft job postings based on intake discussions and get them posted across the right channels promptly.
- Set clear timelines and communication expectations with hiring managers from the start.
- Sourcing & Screening
- Build and maintain talent pipelines for high-volume and recurring positions across distribution, warehouse, and manufacturing functions.
- Screen incoming applications and identify candidates who match the defined success profile.
- Conduct phone and virtual screens to assess fit, communicate our opportunity, and keep strong candidates engaged.
- Proactively source candidates through job boards, LinkedIn, and referrals to build pipeline for active and upcoming roles.
- Interview Coordination & Candidate Communication
- Own interview scheduling from intake to offer, coordinating across hiring managers and interview panels.
- Schedule and coordinate interviews across candidates and hiring managers and handle rescheduling when things shift.
- Prepare and share structured interview guides so hiring managers walk into every conversation ready.
- Support debrief facilitation after interviews to help hiring teams reach timely, grounded decisions.
Offers & Onboarding
- Complete reference checks and compile summaries to support final hiring decisions.
- Prepare and send offer letters in coordination with the hiring manager.
- Support new hires between offer acceptance and Day 1 — answering questions, employee onboarding and making sure nothing falls through the cracks.
- Coordinate onboarding logistics with hiring managers to ensure a smooth start for every new employee.
- Ensure new employees are properly set up across relevant systems, platforms, and access requirements prior to their start date.
- Reporting and Operational Support
- Maintain accurate and complete employee files in UKG, ensuring documentation is organized, current, and audit-ready.
- Support day-to-day HR admin requests from employees and managers, escalating to the HR Generalist where appropriate.
- Track requisition status and candidate progress to support weekly pipeline reporting.
- Flag delays, risks, or candidate experience issues early so they can be addressed quickly.
- Assist with onboarding handoffs to ensure a smooth transition from candidate to new hire.
In an Average Week, You Might…
- Review incoming applications and move candidates through initial screening for two or three active reqs.
- Schedule a full week of interviews across multiple hiring managers and keep everyone on track.
- Conduct phone screens and share summaries and recommendations with the hiring team.
- Follow up with candidates at each stage and update ATS records to reflect current pipeline status.
- Support a reference check or help prepare an offer package as a role approaches the finish line.
- Process onboarding paperwork for a new hire starting and confirm their system access is ready to go.

What You Bring
- 2 to 3 years of experience in full cycle recruiting, recruiting coordination, or a related support role.
- Strong organizational skills with the ability to manage multiple reqs and candidates simultaneously without losing details.
- Clear, professional communication with both candidates and internal stakeholders.
- Familiarity with ATS platforms and comfort working in digital tools day-to-day.
- A candidate-first mindset — you understand that every interaction shapes how people see Formations.
- Ability to work at pace in a high-volume environment while maintaining accuracy and follow-through.
Bonus Points
- Experience recruiting for distribution, manufacturing, warehouse, or sales roles.
- Familiarity with UKG or similar HRIS/ATS platforms.
- Post-secondary education in Human Resources, Business, or a related field.
