We are looking for an organized, reliable, and proactive Operations & Administrative Coordinator to support the daily operations of our pallet manufacturing and distribution business. This role is responsible for coordinating customer orders, overseeing production workflow, managing delivery scheduling and dispatch, handling payroll, tracking accounts receivable and accounts payable, and providing excellent customer service.
The ideal candidate is detail-oriented, able to multitask in a fast-paced environment, and communicates effectively with both customers and internal team members.
Key Responsibilities
Operations
- Receive and process customer orders accurately and efficiently.
- Coordinate daily production schedules to ensure customer deadlines are met.
- Organize and manage load scheduling for deliveries.
- Coordinate dispatch and communicate delivery schedules with drivers and customers.
- Monitor order progress and resolve scheduling or production issues as they arise.
Administration & Accounting
- Process employee payroll accurately and on schedule.
- Track and maintain Accounts Receivable (A/R) and follow up on outstanding customer payments.
- Track and process Accounts Payable (A/P), including supplier invoices and payments.
- Maintain accurate business records, reports, and documentation.
- Assist with inventory and operational reporting as required.
Customer Service
- Answer incoming customer calls and emails professionally.
- Provide quotes, order updates, and delivery information.
- Resolve customer inquiries and concerns in a timely manner.
- Build and maintain positive customer relationships.
Qualifications
- Previous experience in an operations, office administration, logistics, or customer service role.
- Experience with payroll and basic bookkeeping (A/R and A/P).
- Strong organizational and time management skills.
- Excellent verbal and written communication skills.
- Proficiency with Microsoft Office (Excel, Outlook, Word) and accounting or ERP software.
- Ability to prioritize multiple tasks and work independently.
- Experience in manufacturing, transportation, building materials, or pallet operations is an asset.
