Job Description:
The Administrative Assistant & Community Ministries Worker B supports the work of the ministry team, offering general office/clerical support, and assisting in providing a fun, safe, and exciting environment for the youth of our community.
This a Fixed Term Contract Position.

Responsibilities and Accountabilities:
Administration: 50%

Performs general office duties such as switchboard operation; responding to general inquiries; greet and escort visitors; file documents electronically or manually; photocopies and distributes materials as requested; resolves routine inquiries; processes incoming/outgoing mail (occurs weekly and as vacation coverage); web page management.

Books appointments for Family Services guests, updates client files with current information.

Maintains databases as required (e.g. L2F)

Assist with pantry and “free shelf” organization
-
May attend meetings, prepare agendas and takes/circulates minutes.

Produces various written materials such as thrift store vouchers, posters, brochures, registrations, surveys, thank you letters, etc.

May receive requests and order supplies & materials for all departments.

Handles and ensures the protection of extremely confidential and sensitive client and or program files and information.
- Performs other job-related duties as assigned.
Children & Youth Programming: 50%
-
Assists in the planning, execution, and evaluation of various programming for children and youth, such as Junior and Senior BRAVE groups and other related children and youth programming or duties.

Assists with Kids Holiday Camp; planning and traveling to/from camp along with the assigned leadership team.

Develop and execute promotional materials for programming.

May plan for and prepare crafts and snacks.

Contributes to the development of children and youth and their families by mentoring, encouraging, and modeling appropriate attitudes and behaviours.

Provides input in planning and assists with the implementation of appropriate age-based activities according to skill and learning levels that promote social interaction and personal development.

May assist in orientating new youth and families.
-
Ensures that all information about youth, family, staff, visitors and volunteers is kept strictly confidential; and that activity records and statistics are confidentially secured.

Assists with effective risk management, monitoring food safety, medication storage/disbursement, allergies, facility cleanliness/maintenance; completes reports and files incident reports as required.

Works with the supervisor to ensure that programs meet contractual, legal, and internal accreditation requirements; ensures full compliance with child protection legislation and intervene when necessary.

Working Conditions:

Serves in an office environment, within a busy CFS ministry and at various locations within the community (ie: Quarters, local parks, library). The location of work may create a possibility of experiencing the following disagreeable conditions:

angry/abusive people and verbal abuse

minor risk of harm, injury, illness due to physical attacks from others and/or exposure to infectious diseases.

Emergency Response situations (fire, bomb threat, etc)

Exposure to communicable diseases (colds, flu, viruses)

Canada Summer Jobs Contract – 35 hours per week, maximum 8 week duration, per CSJ Contract.

Working hours are generally Monday-Friday, between the hours of 8:00 am and 8:00 pm, (1/2 hour unpaid break for shifts over 5 hours), to a maximum of 35 paid hours per week.

Required to travel up to 10% of the time.
HEALTH & SAFETY

Required to complete general orientation, including safety in the workplace training and annual review.

education and experience Qualifications:
- The successful candidate must have completed High School, plus specialized courses related to Administration of up to six (6) months.

Post-secondary education or equivalent job experience in a related field.

Minimum of one (1) year of prior related experience working with youth programming, youth leadership.
Special Licenses, Diplomas, Certifications or Requirements:
-
Must hold or obtain a recent Criminal Records Check with Vulnerable Sector Check, satisfactory to The Salvation Army, in its sole discretion.

Must receive clearance from TSA Abuse Registry Check.

Required to complete WHMIS training annually.
-
Required to complete Praesidum Academy training modules relevant to position.

Must hold current certification in First Aid / CPR

Must hold current certification in Foodsafe

Must hold a valid driver’s license and provide a copy of driver’s abstract, as required.

Canada Summer Job Contract Requirements:

Able to meet mandatory requirements of the Canada Summer Jobs program, including eligibility, completing required employee consent form, employee declaration, participant contact sheet, youth participant questionnaire, and any additional items as required by the CSJ program.

The successful job applicant will need to be between 15-30 years old and eligible to work in Canada, as the job is contingent upon Canada Summer Jobs program funding.
Compensation:
The target hiring range for this position is $18.25 to $22.23 with a maximum of $26.20.
Placement in the salary range will be based on factors such as market conditions, internal equity, and candidate experience, skills, and qualifications relevant to the role.
