Job Summary:
We are seeking an organized and detail-oriented individual to join our team as a Property Management Administrative Assistant. This role is integral to the success of our Property Management department, providing administrative support, ensuring compliance, and maintaining accurate records across a variety of property management functions. The ideal candidate is highly proficient in Microsoft Office and Google Workspace, demonstrates outstanding communication skills, excels in a fast-paced environment, and is dedicated to providing exceptional service.
Duties & Responsibilities:
- Perform initial administrative review of Property Management Agreements, Title Searches, and Disclosures prior to submitting to Managing Broker(s).
- Maintain records of Damage Deposits in the trust account, including receipt and release of funds.
- Record receipts and reimbursements accurately into property accounts using property management software.
- Ensure rent collection is tracked and reflected in systems by the designated date of each month.
- Assist with preparing and distributing Owner’s Statements and reports by the designated date of each month.
- Compile the brokerage’s Rent Roll by the designated date of each month and submit it for review.
- Monitor PM compliance with deadlines for document submissions, rent rolls, and reimbursements.
- Ensure PM commission payments and reimbursements are processed by the designated date of each month.
- Respond to general bookkeeping or accounting queries from PMs related to managed properties.
- Provide assistance to Management and Managing Broker as needed
- Support other offices as needed
- Respond to important messages, calls, and emails after hours
- Respond promptly in an efficient manner
- Maintain a high degree of discretion and confidentiality
- Dress appropriately for work (business casual attire)
- Perform other related duties as required
Qualifications:
Required Knowledge, Skills, Abilities:
- Exceptional verbal and written english communication skills
- Ability to manage competing priorities in a fast-paced environment
- Demonstrated computer skills
- Familiarity with Buildium software is considered an asset
- Flexibility to work additional hours as required to meet business needs
Required Training and Experience:
- Diploma in Accounting, Business Administration, Finance, or a related field
- A minimum of 1 year Administrative experience
- A minimum of 1 year Bookkeeping experience
- Experience in a Property Management setting is considered an asset
Job Types: Full-time, Permanent
Pay: $39,520.00-$43,680.00 per year
