Job Overview
We are seeking a professional, friendly, and organized Receptionist to join our dealership team. As the first point of contact for customers, you will play a key role in creating a positive customer experience while supporting the daily administrative operations of the dealership. The ideal candidate will have excellent communication skills, strong organizational abilities, and the ability to multitask in a fast-paced automotive environment.
Responsibilities
- Welcome customers, vendors, and visitors in a professional and courteous manner.
- Answer and direct incoming phone calls using a multi-line telephone system.
- Assist customers with general inquiries and direct them to the appropriate sales, finance, service, or management department.
- Schedule customer appointments for sales, service, and vehicle deliveries as required.
- Maintain customer records, vehicle files, and dealership documentation with accuracy and confidentiality.
- Perform data entry using dealership management software, Microsoft Office, Google Workspace, and other dealership systems.
- Process incoming and outgoing mail, courier packages, and dealership correspondence.
- Assist with vehicle deal administration by preparing, scanning, photocopying, and filing required documents.
- Maintain an organized reception area, customer lounge, and front office at all times.
- Support accounting by receiving payments, issuing receipts, processing deposits, and assisting with basic bookkeeping duties.
- Order and maintain office supplies and ensure adequate inventory levels.
- Assist management with administrative projects and other office duties as assigned.
- Coordinate customer hospitality by offering refreshments and ensuring an exceptional dealership experience.
- Ensure all customer interactions are handled professionally while maintaining the dealership's customer service standards.
Qualifications & Skills
- Previous experience as a receptionist, front desk administrator, or customer service representative, preferably in an automotive dealership.
- Excellent verbal and written communication skills.
- Strong customer service and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace.
- Experience with dealership management systems (DealerTrack, PBS, CDK, Reynolds & Reynolds, or similar) is considered an asset.
- Basic accounting and bookkeeping knowledge, including processing payments and maintaining records.
- Excellent organizational skills with strong attention to detail.
- Ability to manage multiple priorities in a fast-paced dealership environment.
- Strong typing and data entry skills with a high level of accuracy.
- Professional phone etiquette and the ability to handle high call volumes.
- Ability to maintain confidentiality and handle sensitive customer information.
- Positive attitude, reliability, punctuality, and a team-oriented approach.
- Experience with OMVIC documentation and automotive dealership processes is considered an asset.

Pay: $17.60-$24.00 per hour
