Position Overview
We are seeking a friendly, organized, and proactive professional who excels in customer service, communication, and clinic administration. This role is essential in creating a smooth and welcoming patient experience both in person and over the phone.
Key Responsibilities
Patient Communication & Customer Service
- Answer incoming phone calls and emails in a timely and professional manner
- Assist patients with inquiries, bookings, and clinic information
- Manage appointment changes, cancellations, and follow-ups
Front Desk Reception
- Greet and check in patients in a warm and professional manner
- Maintain a welcoming, organized, and efficient front desk environment
Scheduling & Coordination
- Book, reschedule, and optimize patient appointments
- Coordinate practitioner schedules to ensure smooth clinic flow
Medical Administration
- Maintain accurate and confidential patient records
- Work within electronic health record (EHR) systems
Billing & Insurance
- Process payments and issue receipts
- Handle direct insurance billing and related patient inquiries
Clinic Support
- Assist with general administrative duties as needed
- Help maintain a clean, organized, and professional clinic environment
Qualifications
Required Skills & Experience
- Strong communication and interpersonal skills
- Professional phone etiquette and clear written communication
- Experience in customer service, medical reception, or clinic administration
- Comfortable working with scheduling systems and electronic records
Technical Skills
- Proficiency with computers and office tools (Google Drive, Excel, etc.)
- Ability to learn and navigate EHR systems quickly
Professional Attributes
- Strong organizational and multitasking abilities
- High attention to detail
- Ability to handle sensitive and confidential information with discretion
- Legally eligible to work in Canada
- English fluency required
Assets
- Experience in a healthcare or medical clinic setting
- Experience with direct insurance billing
