About SoilTrackers
SoilTrackers is a Richmond, BC-based cleantech company building a real-time soil tracking and chain-of-custody verification platform for soil and fill movement across British Columbia and Alberta. Our platform helps excavation contractors, fill site operators, and municipalities comply with BC's Environmental Management Act and Soil Relocation Agreement requirements while connecting soil sources with receiving sites through a digital marketplace. We currently operate a pilot program with the City of Richmond and are expanding across the province.
Position Summary
We are seeking a motivated Data Entry Clerk / Administrative Assistant to support the growth of our soil marketplace. The successful candidate will play a key role in seeding the marketplace with verified listings by conducting outreach to fill site operators, excavation and demolition contractors, trucking companies, and aggregate suppliers across BC and Alberta, then accurately entering and maintaining listing data on the platform.
This is a hands-on opportunity to gain experience in business development, data operations, and the cleantech/construction technology sector at an early-stage startup.
Key Responsibilities
Marketplace Data Entry & Listing Management (50%)
- Create, format, and publish marketplace listings for fill sites, soil sources, and hauling capacity
- Enter and verify operator information including site locations, accepted soil types, capacity, permits, and contact details
- Maintain data accuracy and consistency across the platform database and CRM
- Flag incomplete or inconsistent records for follow-up
Outreach & Onboarding Support (35%)
- Contact fill site operators, excavation contractors, demolition contractors, and related businesses by phone and email to invite them to list on the platform
- Follow a structured outreach cadence and log all touchpoints in the CRM
- Assist new operators with completing their listings and answer basic onboarding questions
- Build and maintain prospect lists from public directories, permit records, and industry associations
General Administrative Support (15%)
- Organize digital files, spreadsheets, and shared documents
- Prepare simple reports summarizing outreach activity and listing growth
- Support scheduling and other administrative tasks as assigned
Qualifications
Required:
- Strong written and verbal communication skills; comfortable making professional phone calls
- High attention to detail and accuracy in data entry
- Proficiency with spreadsheets (Excel or Google Sheets) and email
- Ability to work independently and manage a daily task list
- Reliable, organized, and eager to learn
Assets (not required):
- Familiarity with CRM tools (e.g., HubSpot) or willingness to learn
- Interest in construction, environmental services, or technology startups
- Knowledge of the Lower Mainland / BC geography

Eligibility
To be eligible under the Canada Summer Jobs program, applicants must:
- Be between 15 and 30 years of age at the start of employment
- Be a Canadian citizen, permanent resident, or person on whom refugee protection has been conferred under the Immigration and Refugee Protection Act
- Be legally entitled to work in Canada in accordance with relevant provincial legislation and regulations
Pay: $18.25-$19.00 per hour
