Job Overview
We are seeking a mature, reliable, and professional part-time receptionist to join our multidisciplinary clinic team, which includes chiropractic, physiotherapy, psychology, acupuncture, nurse practitioner and registered massage therapy services. The ideal candidate will be organized, adaptable, emotionally intelligent, and comfortable communicating with patients, practitioners, and team members in a professional and friendly manner.
Previous experience in a chiropractic, physiotherapy, dental, optometry, or similar healthcare office is preferred. Experience with Healthquest, Jane, Juvonno, or another EMR system, as well as third-party billing, is considered an asset.
This position requires availability for a variety of shifts, including mornings, afternoons, evenings, and Saturdays. Evening availability is required, as this role includes closing shifts that typically end between 7:00 p.m. and 8:00 p.m. The successful candidate must be comfortable locking up the clinic and completing end-of-day closing and light cleaning tasks.
Expected hours are approximately 15–25 hours per week, depending on practitioner schedules and clinic needs.
This is a long-term part-time position.
Key Responsibilities
· Greet patients and visitors in a warm, professional, and welcoming manner.
· Answer and manage incoming phone calls using professional phone etiquette.
· Schedule appointments, manage patient flow, and support day-to-day clinic operations.
· Complete accurate and timely data entry to maintain up-to-date patient and administrative records.
· Assist with administrative tasks, including filing, scanning, organizing documents, and maintaining office systems.
· Respond to patient inquiries and provide support in a clear, courteous, and helpful manner.
· Process insurance claims and assist with third-party billing tasks as needed.
· Maintain a clean and organized reception and clinic environment through light cleaning duties.
· Complete closing responsibilities, including end-of-day tasks and locking up the clinic during evening shifts.
Qualifications
· Previous reception, administrative, or healthcare office experience is preferred.
· Strong administrative skills with excellent attention to detail.
· Comfortable using computer systems and office software relevant to clinic administration.
· Experience with EMR systems is considered an asset.
· Excellent communication and customer service skills, with the ability to interact professionally with patients, practitioners, and team members.
· Strong data entry skills with a focus on accuracy and consistency.
· Ability to manage multiple priorities while remaining organized, calm, and professional.
· Positive attitude, reliability, and willingness to learn new systems and processes.
Schedule & Availability
· Part-time, permanent position.
· Approximately 15–25 hours per week, depending on practitioner schedules and clinic needs.
· Availability is required for a variety of shifts, including mornings, afternoons, evenings, and Saturdays.
· Saturday availability is required.
· Evening shifts include closing duties and typically end between 7:00 p.m. and 8:00 p.m.
Compensation & Job Details
· Pay: CA$18.00–CA$22.00 per hour.
· Wage will be negotiated based on experience, flexibility, availability, and reliability.
· Benefits are negotiable.
· Education: Secondary School preferred.
