POSITION SUMMARY:
The Assistant Program Coordinator will support the planning, coordination, and delivery of services to ensure clients receive accessible and culturally responsive support. Working closely with the Program Coordinator and management team, the Assistant Program Coordinator will assist with scheduling, booking, coordinating client requests, maintaining service records, and supporting day-to-day operations.
The role requires strong communication, administrative and organizational skills to support the efficient operation of day-to-day activities.
LINES OF ACCOUNTABILITY:
Assistant Program Coordinator reports to the Executive Director.
JOB DESCRIPTION:
Receive phone calls, coordinate, schedule and dispatch assignments from ehcw clients;
- Receive service evaluation and feedback from clients regularly;
- Compile and complete information and processes for billing to clients and payment for assignments
- Track assignment progress and necessary follow-ups;
- Compile statistics and records for the organization and report to the Executive Director;
- Assist in performing record keep;
- Research and develop the market to expand services;
- Work in co-operation with program staff members;
- Assist in the preparation of reports for the Executive Director on a monthly basis;
- Perform any other duties assigned by the Executive Director.
QUALIFICATIONS:
- Strong communication and telephone skills.
- Excellent in computer skills with proficiency in Microsoft Word and Excel .
- Understanding of the use of social media, Zoom, WebEx and other sources of virtual communications.
- Knowledge of filing procedures.
- Excellent written and oral skills in English and communicated languages.
- Have ability to promptly answer urgent calls and be punctual.
- Ability to work in a fast past environment.
- Excellent listening, clear pronunciation, and professional voice when communicating with clients.
