We are currently seeking a full time permanent Receptionist/Administrative Assistant to join our team. This is an excellent opportunity for someone who enjoys working in a fast-paced office environment and is looking for room to grow within the company.
What You'll Do
As the first point of contact for our company, you will play an important role in creating a professional and welcoming experience while supporting our administrative and accounting teams.
Responsibilities include:
- Answering, screening, and directing incoming telephone calls.
- Greeting visitors and notifying employees of their arrival.
- Receiving, sorting, and distributing incoming mail and deliveries.
- Operating and maintaining the multi-line telephone system.
- Monitoring office attendance through the sign-in log.
- Assisting with general administrative duties including filing, scanning, data entry, word processing, and document preparation.
- Working closely with the Accounting Department to provide administrative support as required.
- Coordinating courier shipments locally and internationally using Purolator, FedEx, UPS, and CityWide.
- Booking hotels and accommodations for employees working out of town.
- Tracking inventory and ordering office and kitchen supplies.
- Assisting with organizing company meetings, employee events, and social functions.
- Providing support to other departments as needed.
Qualifications
This is an entry-level position, and we are willing to train the right candidate.
The ideal candidate will have:
- Excellent customer service and communication skills.
- Strong organizational skills with the ability to prioritize multiple tasks.
- High attention to detail and the ability to follow established procedures.
- A positive attitude and a willingness to learn.
- The ability to work independently while contributing to a team environment.
- Proficiency with Microsoft 365, including Excel, Word, Outlook, and Teams.
- Familiarity with multi-line phone systems.
- QuickBooks experience is considered an asset.
