Role Overview
CMI Financial Group (CMI) is seeking a detail oriented and execution focused Mortgage Administrator to support the administration and servicing of private mortgage loans across our platform. This role plays a critical operational function in ensuring accurate post‑closing administration, timely investor and borrower communications, and the smooth ongoing servicing of mortgage accounts.
The Mortgage Administrator works closely with internal teams, borrowers, investors, brokers, and solicitors to manage renewals, discharges, payment processing, and basic default resolution. This is a hands-on role requiring strong organizational skills, sound judgment, and the ability to manage multiple priorities in a fast‑paced environment.
Core Responsibilities (Operational Focus)
Mortgage Administration & Servicing
- Execute all post closing mortgage administration activities, including renewals, discharges, account maintenance, and payment processing.
- Administer mortgage accounts in accordance with internal policies, investor requirements, and servicing standards.
- Monitor accounts for exceptions, arrears, and performance issues, escalating matters as required.
- Facilitate internal renewal and discharge workflows, ensuring all procedural steps and documentation requirements are completed accurately and on time.
Borrower, Investor & Stakeholder Communication
- Serve as a primary point of contact for borrowers, investors, solicitors, brokers, and internal account managers.
- Maintain clear, professional, and timely communication to resolve routine servicing inquiries and issues.
- Adhere to strict follow-up schedules to ensure investors are consistently informed and up to date.
- Support the resolution of basic default events through proactive communication and coordination with relevant stakeholders.
Reporting, Documentation & Record Management
- Prepare, review, and distribute internal and external statements and documentation, including (but not limited to):
- Discharge statements
- Information requests
- Arrears and account status statements
- Maintain accurate, up-to-date records, reports, and servicing documentation at all times.
- Ensure all data entry and documentation reflects a high level of accuracy and attention to detail.
Operational Support & Continuous Improvement
- Support special projects related to mortgage servicing, reporting, or process improvements as assigned.
- Identify opportunities to enhance administrative efficiency and service quality within established processes.
- Perform other related duties as required to support the broader mortgage administration function.
Qualifications & Profile
- Previous mortgage administration experience required; experience in the private mortgage market is a strong asset.
- Demonstrated knowledge of Private Lending – required.
- Trust company experience considered an asset.
- Strong written and verbal communication skills.
- Sound judgment with the ability to make independent decisions within defined parameters.
- Proven ability to work both independently and collaboratively within a team environment.
- Comfortable working in a fast paced, deadline‑driven environment with competing priorities.
- Strong organizational, analytical, and problem solving skills.
- Exceptional attention to detail and accuracy.
- Effective time management and ability to multitask efficiently.
- Flexible to work occasional hours outside of standard business hours as required.
- Level 2 Mortgage Agents License (Ontario)
Engagement Details
- Employment Type: Fulltime, permanent
- Work Arrangement: Remote, with occasional travel as required
- Reporting To: Director of Servicing
- Location: Canada (remote-first environment)
Pay: From $62,000.00 per year
