HSG is looking for a strong administrator to join our team for a 4-month full-time term in our office. This role is all about keeping projects organized, supporting our clients, and helping our team deliver great work.
HSE experience is a bonus, but it’s not required - we can teach you the HSE side of the job. Attention to detail, a commitment to customer service and tech confidence to pick up new systems and tools quickly are essential.

About the Role
As our HSE Administrator, you’ll support internal and client teams to execute safety and compliance tasks across multiple projects and industries. You’ll manage communications, documentation, onboarding, data tracking, and more—all with a focus on accuracy, efficiency, and a five-star experience.
You’ll work closely with our Coordinators and Advisors to keep client programs organized and on track.
Key Responsibilities
Admin & Project Coordination
- Manage multiple email accounts and administrative phone lines
- Support onboarding processes for workers, subcontractors, and sites
- Track deadlines, certifications, and action items
System & Data Management
- Maintain digital safety and transportation management systems
- Use Asana (task tracking), Workhub, and other tools to organize work
- Collect, enter, and manage client HSE data for reporting and analysis
- Prepare and update client documents, templates, and presentations
Communication & Compliance
- Draft toolbox talks, newsletters, and safety bulletins
- Book courses, medicals, and testing as required
- Track and close out incident reports and related follow-ups
Meetings & Reporting
- Attend client meetings and record minutes, tasks, and action items
- Disseminate vendor updates and notices to clients’ teams
- Provide regular reporting support to clients and internal teams
General Support
- Backfill other admin roles as needed during absences
- Contribute to internal process improvement and special projects
What We’re Looking For
- 2–3 years in a high-volume administrative or coordination role
- Strong proficiency with Microsoft Office (Word, Excel, PowerPoint, Teams)
- Comfortable using cloud-based tools and learning new platforms
- Exceptional organizational, communication, and writing skills
- Able to manage multiple priorities with speed, accuracy, and attention to detail
- Experience with any of the following is an asset: Asana, Jotform, Workhub, RingCentral, Adobe Pro, Canva
- Bonus: Exposure to HSE, compliance, or project coordination environments
