We are seeking a highly organized and proactive Operations Coordinator to support the day-to-day management of a portfolio of commercial and industrial properties. This role is responsible for coordinating maintenance activities, capital projects, contractor relationships, and operational initiatives to ensure our properties are maintained to a high standard and projects are delivered efficiently.
The ideal candidate will have a background in property management, facilities management, construction, or project coordination and be comfortable managing multiple priorities in a fast-paced environment. They will possess strong organizational and communication skills, be detail-oriented, and have the ability to coordinate projects from planning through completion while working closely with contractors, tenants, consultants, and internal stakeholders.
This position is well suited to someone who enjoys problem-solving, thrives in a collaborative environment, and has a practical understanding of building operations, maintenance, and construction practices.
Key Responsibilities
- Coordinate the day-to-day operations of a portfolio of commercial and industrial properties.
- Assist with planning, scheduling, and overseeing maintenance, repair, and capital improvement projects from initiation through completion.
- Coordinate and communicate with contractors, consultants, suppliers, and service providers to ensure work is completed safely, on time, and to the required standard.
- Obtain quotations, prepare work descriptions, and assist with procurement of maintenance, construction, and operational services.
- Conduct routine property inspections to identify maintenance deficiencies, safety concerns, and opportunities for improvement.
- Coordinate preventative maintenance programs and ensure all scheduled maintenance is completed in accordance with company standards.
- Manage and prioritize maintenance requests from tenants and internal stakeholders, ensuring timely resolution.
- Assist with contractor onboarding, scheduling, site access, and compliance with company health and safety requirements.
- Maintain accurate records of contractor agreements, inspections, maintenance activities, and project documentation.
- Support regulatory compliance by coordinating required inspections, certifications, and corrective actions related to fire safety, building systems, and other legislative requirements.
- Assist with the planning and execution of capital improvement projects, including budgeting, scheduling, and progress tracking.
- Coordinate tenant improvements and other operational projects while minimizing disruption to building occupants.
- Develop and maintain strong working relationships with tenants, contractors, consultants, and municipal authorities.
- Track operating and capital expenditures and assist in monitoring project budgets and cost performance.
- Identify opportunities to improve operational efficiency, maintenance practices, and vendor performance.
- Assist with emergency response coordination and support after-hours building issues when required.
- Collaborate with internal team members to ensure consistent service delivery across all properties.
- Perform other operational and project coordination duties as assigned.
Preferred Qualifications
- Experience in commercial property management, facilities management, construction, or project coordination.
- Strong understanding of commercial building systems, maintenance practices, and construction processes.
- Excellent organizational, time management, and problem-solving skills.
- Ability to manage multiple projects and priorities simultaneously.
- Strong written and verbal communication skills with the ability to build positive relationships with tenants, contractors, and vendors.
- Proficiency with Microsoft Office (Excel, Word, Outlook) and experience using project management or maintenance management software is considered an asset.
- Valid Ontario driver's licence with the ability to travel between properties.
Pay: $25.00-$30.00 per hour
