Reporting to the Senior Manager, Community Impact and Engagement, the Event Coordinator will support the final planning and delivery of Sports Day The Girls' Way, with a primary focus on volunteer recruitment, training, coordination, and event-day execution. The Event Coordinator will serve as the lead for volunteer engagement and participant-facing operations, helping create a welcoming, organized, and empowering experience for all attendees
Sports Day The Girls’ Way is a one-day event designed to empower girls through sport and physical activity. Girls are less likely than their male peers to participate in and remain involved in sport due to barriers such as limited access, fewer opportunities, and a lack of visible female role models. Through a fun, inclusive, and welcoming environment, participants have the opportunity to try new sports, build confidence, make friends, connect with role models, and discover pathways to continued participation in sport.
This part-time, fixed term role has an hourly rate of $35/hr. This is a temporary position and offers a hybrid work arrangement. This position’s term is September 8, 2026, to October 29, 2026 (up to 10 hours per week / 6 weeks). Applicants must be available event day on Monday, October 19, 2026.
What you’ll do:
Volunteer Recruitment and Management

Lead the recruitment, onboarding, scheduling, and communication of event volunteers.

Develop volunteer role descriptions and assignments based on event needs.

Coordinate volunteer registration, screening requirements, and tracking.

Create volunteer training materials, information packages, and event-day resources.

Facilitate volunteer orientations and pre-event walkthroughs.

Serve as the primary point of contact for volunteers leading up to and during the event.

Manage volunteer check-in, deployment, breaks, troubleshooting, and recognition on event day.

Ensure volunteers understand event goals, schedules, responsibilities, and participant engagement expectations.
Event Logistics and Participant Experience

Support implementation of event plans, timelines, and logistics.

Assist with organizing event materials, signage, participant resources, and supplies.

Support volunteers with fostering a welcoming, inclusive environment.

Assist with communication and coordination of event stakeholders as needed.
Event Day Operations

Serve as the lead for volunteer operations and participant-facing logistics on event day.

Coordinate volunteer deployment and ensure all event areas are appropriately staffed.

Support registration, wayfinding, participant flow, and troubleshooting throughout the event.

Work closely with the Event Manager to address operational needs and ensure seamless event execution.

Support event setup and teardown activities as required.
What’s needed:

Completion of post secondary degree or diploma in a related field.

Experience planning and delivering events, preferably community, sport, youth, or recreation events.

Strong project management and organizational skills.

Experience coordinating multiple stakeholders and competing priorities.

Ability to work independently and take initiative.

Ability to thrive and problem-solve in a fast-paced environment.

Ability to prioritize tasks, meet deadlines and achieve quality results.

Strong communication skills, both verbal and written.

Ability to meet the physical requirements of the position including standing/walking/climbing stairs and moving equipment for extended periods of time.

Valid drivers license and access to vehicle is an asset.

Bilingualism in English and French is considered an asset.
