The Department of Paediatrics in the Cumming School of Medicine invites applications for an Administrative Assistant. This Fixed Term Recurring Part-time position is for approximately 4 months (based on length of grant funding), with the possibility of extension.
The CLIMB Clinic is a quality improvement initiative looking to see children and their families after being discharged from the Pediatric ICU (PICU) at the Alberta Children's Hospital. They are seen in the clinic by a PICU intensive care physician or nurse practitioner 3 times between discharge and 18-months after discharge from the unit.
Administrative Assistants perform office and administrative duties in support of research activities. Some examples are to maintain accurate documentation across database platforms, schedule clinic visits, confirm appointments and send out required health questionnaires ahead of appointments. While stress levels are low in this role, moderate impact of errors can still occur. There is a responsibility to ensure that the daily operations of the program are completed in an efficient and effective manner. This position will work both independently and in a team environment.
The work will occur on site at the Alberta Children's Hospital. This position is for 2 days per week with some flexibility on scheduling.
Accepting an offer and working on site at The Alberta Children's Hospital will require a current Police Check with vulnerable section check as well as up to date vaccination records.
Reporting to the PICU Research Program Manager.
Recurring Part-time employees are hourly employees engaged to perform work on an irregular schedule.
Summary of Key Responsibilities (job functions include but are not limited to):

Prepare, edit, and proofread correspondence, manuals of procedure, and related documents

Organize and distribute incoming e-mail and other materials to coordinate the flow of information internally and externally to the department and clinic attendees

Arrange clinic schedules

Answer in person, phone, and electronic inquiries

Compile and organize data, schedules, and other information to support the CLIMB clinic

Keep office and work area clean and safe

Establishes and maintains effective, productive relationships with staff, peers, immediate supervisor and senior management and with the campus community

Manages own time effectively and ensures immediate reports to manager is kept informed of activities, and progress of work

Changes to procedures and practices to increase effectiveness and efficiency of work area
Demonstrated strong communication, team and customer service skills, and an ability to exercise judgment within established guidelines

Qualifications / Requirements:
-
High school diploma required, some post-secondary education preferred

Minimum 2 years of related administrative experience

A combination of education and experience will be considered

Immediate to advanced skills in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint)

Knowledge of SharePoint, Microsoft Booking, considered an asset

Experience with REDCap database considered an asset

Internet skills

Fully proficient interpersonal and organizational skills

Demonstrate strong analytical skills

Ability to operate and maintain various office equipment (eg. photocopier, fax machine)

Demonstrated strong communication, team and customer service skills, and an ability to exercise judgment within established guidelines

Must be open to learning and development, and be willing to accept new challenges and assignments

A positive attitude and the ability to work independently and as part of a team are critical to success
Knowledge of the University of Calgary processes and procedures is desirable
