Position Summary
We are seeking a motivated, detail-oriented Customer Service & Inside Sales Representative to join our team. This role sits at the intersection of customer support and proactive sales — you will be the day-to-day contact for an established account base, handling orders, resolving inquiries, and identifying opportunities to grow accounts through product recommendations and upselling. The ideal candidate is organized, personable, product-curious, and thrives in a fast-paced distribution environment.
Key Responsibilities
Customer Service & Order Management
- Respond promptly to customer inquiries via phone and email, providing accurate product information, pricing, and availability
- Process sales orders accurately in the company ERP/order management system
- Coordinate with the warehouse and purchasing teams to ensure on-time, complete order fulfillment
- Proactively communicate order status, shipping updates, and backorder resolutions to customers
- Handle returns, credits, and complaints with professionalism and a solutions-first mindset
Inside Sales & Account Development
- Build strong, trust-based relationships with assigned accounts through consistent, value-added communication
- Identify upsell and cross-sell opportunities based on customer purchase history and seasonal needs
- Support the external sales team by preparing quotes, following up on open opportunities, and keeping CRM records current
- Introduce new products, promotions, and programs to existing customers
- Assist in reactivating dormant accounts under direction of the Sales Manager
Product Knowledge & Support
- Develop strong familiarity with our product lines including floor care chemicals, disinfectants, dispensing systems, entrance matting, and jan-san consumables
- Help customers select the right products for their specific applications (e.g., VCT maintenance, infection prevention, green cleaning programs)
- Participate in product training sessions offered by vendors and management
Administrative & Reporting
- Maintain accurate customer account records, pricing files, and contact information
- Generate and distribute customer quotes, proforma invoices, and product documentation
- Track order trends and flag unusual changes in customer purchasing patterns
- Contribute to weekly sales reporting and team meetings
Qualifications
Required
- 2+ years of experience in customer service, inside sales, or order management — preferably in distribution, manufacturing, or a B2B environment
- Strong written and verbal communication skills
- Comfortable working with order management or ERP systems and Microsoft Office (Word, Excel, Outlook)
- Highly organized with the ability to manage multiple priorities and accounts simultaneously
- A team-oriented attitude with the confidence to work independently when needed
Preferred
- Experience in the janitorial/sanitation (jan-san), facilities supply, or commercial cleaning industry
- Familiarity with institutional sectors such as healthcare, education, or food service
- Prior exposure to CRM tools and sales quoting software
- Bilingual (English/French) is an asset
