Position Summary:
The Event Coordinator is responsible for planning, organizing, and executing winery events while ensuring an exceptional guest experience from initial inquiry through final invoicing. This full-time onsite position requires strong communication, organization, and leadership skills to manage event logistics, reservations, banquet event orders, floor plans, and client correspondence. The coordinator works closely with the Operations Manager, Bistro Manager, and Front of House team to deliver seamless weddings, private functions, and winery events. Availability during daytime, evenings, and weekends is required, particularly during the peak season.
Key Responsibilities:
- Manage event-related email correspondence and guest communication
- Coordinate and maintain bistro reservations and event bookings
- Prepare banquet event orders (BEOs), floor plans, and facility rental agreements
- Lead and oversee events onsite to ensure smooth execution and exceptional guest service
- Coordinate with the Bistro Manager and Front of House team during events
- Accurately track event details and prepare final invoicing/accounting information
- Assist with event setup, timelines, and operational logistics
- Maintain a high level of professionalism and hospitality standards
